Why businesses on Karbon outsource

Karbon gives a firm one place for email, work and client requests. Once it is set up, the constraint is hands. Work items pile up in the same status for weeks, client tasks go unanswered because nobody follows up, and Triage becomes a second inbox the partner clears at night. The firm has the process but not the people to run it.

Placing a dedicated accountant inside the firm's Karbon solves the people problem without touching the process. Our accountant is assigned work items like any staff member, follows the firm's workflow templates, comments and @mentions in the timeline, and does the bookkeeping in the client's ledger. Reviewers see the same checklists they built. The firm adds capacity without headcount and keeps every client relationship.

What we do inside Karbon

Work items and workflow templates

We take assigned work items, complete each task in the firm's templates in order, update statuses and due dates, and leave a timeline note the reviewer can audit.

Triage and email

Our accountant clears assigned Triage items daily, files emails to the right work item or contact, and drafts replies for firm approval where client-facing messaging matters.

Client tasks and follow-up

Automated client tasks are monitored, unanswered requests are chased on the firm's cadence, and documents received are attached to the work item.

Bookkeeping in the client's ledger

For monthly clients we post, categorize and reconcile in QuickBooks Online, Xero or Sage, then attach the reconciliation reports to the Karbon work item for review.

Time, budgets and billing support

Time is logged against work items so budget versus actual stays accurate, and we prepare invoice drafts from Karbon Billing for the firm to approve and send.

Recurring work and month-end checklists

Recurring work items for monthly closes and quarterly filings are kept current, and our CloseTrack checklist mirrors the firm's own template so nothing is done twice.

Integrations we reconcile

  • QuickBooks OnlineClient bookkeeping done in the linked QuickBooks Online file and reconciled before the Karbon work item moves to review.
  • XeroXero bank reconciliation and month-end reports attached to the work item; Karbon billing sync to the firm's Xero reconciled monthly.
  • DextDocuments received through client tasks or Dext are coded and published to the client ledger, with the work item updated.
  • IgnitionProposals and recurring invoices from Ignition matched to the Karbon work created for each engagement.
  • FathomManagement reports built in Fathom attached to the monthly work item for partner review.

Migration to and from Karbon

Moving to Karbon

Moving a firm to Karbon means importing contacts, building workflow templates, connecting each user's email and recreating recurring work. We help import contacts and organizations by CSV, translate existing checklists into Karbon templates, set up recurring work items with the right due dates and assignees, and run the first month with a parallel checklist so nothing is dropped. The firm approves every template.

Moving from Karbon

If the firm is leaving Karbon for TaxDome, Canopy or another platform, we export contacts, work items, notes and time entries in an ordered set, check each export against a control count, and rebuild recurring work in the new system. Open client tasks are closed or re-sent from the new platform, and Karbon billing is reconciled to the firm's ledger before the account closes.

Accounting software setup and migration

Common Karbon reconciliation problems we fix

  1. Work items stuck in one status

Jobs sit in waiting-on-client for weeks because nobody chases. We follow up on open client tasks each business day and log every contact in the timeline.

  2. Triage becomes a second inbox

Emails assigned to the partner never get filed to work. Our accountant clears assigned Triage daily so every email lands on the right work item.

  3. Templates exist but are not followed

Staff skip checklist steps under deadline pressure. We complete every task in the template and leave evidence in the timeline for the reviewer.

  4. Time unlogged, budgets unreliable

Without time against work items, fixed-fee profitability is a guess. We log time consistently so Practice Intelligence reports mean something.

  5. Bookkeeping lags the tax job

Write-up clients arrive at year-end with unreconciled books. We keep monthly work items current so tax work starts from a clean trial balance.

Frequently asked questions

Do you work inside my existing Karbon account?

Yes. Your firm adds our named accountant as a Karbon user with the role and client visibility you choose. Contacts, work, email and billing stay in your account and under your subscription. Nothing is copied into a separate system, and access is removed the moment you say so.

How much do Karbon bookkeeping services cost?

Pricing depends on volume and scope, so we send a custom quote within 1 business day. The quote reflects the number of clients and work items, whether you need bookkeeping only or broader back-office support, and seasonal peaks. As a market reference, offshore staffing for CPA firms typically runs $10 to $25 per hour against $40 to $75 for US-based staff (Madras, Acculink, 2026).

Will your accountant email my clients from Karbon?

Only if the firm wants that, and always under the firm's name and templates. Many firms have us draft replies for a partner to send. Client tasks go out through Karbon's own automation, so clients see the firm, not us. The choice is recorded in the engagement letter.

Can you use our existing workflow templates?

Yes. We do not rebuild your process. Our accountant follows the templates, checklists and statuses your team already uses and suggests changes only through the firm's reviewer. Our dedicated accountants page describes how the named accountant, backup and team lead fit into a firm.

Do you handle US tax work through Karbon?

We provide tax preparation support only: workpapers and data entry in your tax software, tracked as Karbon work items. Your firm reviews and signs. Before any US tax-return information reaches us, the firm obtains IRS section 7216 written consent and we log it against the client.

How do you keep client data secure across Karbon and the ledgers?

Access is limited to the Karbon role and client ledgers you assign, with MFA everywhere and read-only bank feeds where possible. A GDPR data-processing agreement is available for UK firms. Access is reviewed with your team lead and revoked at the end of the engagement.
