What is CAAS outsourcing?
CAAS outsourcing is the use of an outside team to produce the recurring deliverables behind a firm's client accounting and advisory services line: report packs, dashboards, cash-flow forecasts, budgets and KPI commentary. The firm keeps the client meeting, the advice and the fee. The provider prepares the numbers, visuals and draft narrative for the partner to review and present.

Who it is for
Firms launching a CAAS line
You want to sell monthly advisory but cannot build 30 report packs a month with the staff you have. We produce the packs; your partners run the meetings.
Firms with Fathom or Syft licenses
You bought the tools and the reports are still late. We map the ledgers, build the templates and keep every client's pack on schedule.
Firms with controller-level clients
Clients want a 13-week cash forecast, budget versus actual and covenant checks. We prepare them from the close package every month.
What's included
- Monthly management report pack per client in Fathom, Syft or your template
- Dashboard setup and upkeep with chart-of-accounts mapping per client
- KPI definitions, calculations and trend charts agreed with your partner
- Budget versus actual reports with variance commentary drafts
- 13-week cash-flow forecasts refreshed from bank and ledger data
- Annual budget and reforecast models built in your format
- Lender and board reporting packs, including covenant calculations
- Industry benchmark tables where the firm holds a licensed data source
- First-draft narrative for the partner to edit before the client meeting
- Close-to-pack tie-out so every figure agrees to the reconciled ledger
- Portfolio pack status report for partners every week
Deliverables and KPIs
| Deliverable | KPI we report | Cadence |
|---|---|---|
| Management report pack | Delivered by the agreed day after the client's close, in your template | Monthly |
| Dashboard refresh | Every client dashboard tied to the reconciled ledger after close | Monthly |
| Cash-flow forecast | 13-week forecast refreshed with actuals and variance to last forecast | Weekly or monthly |
| Variance commentary draft | Every movement above the partner's threshold explained in plain English | Monthly |
| Budget and reforecast | Annual budget and quarterly reforecast loaded and compared to actuals | Quarterly |
| Pack status report | Every client's pack step visible on one page for partners | Weekly |
KPIs are what we measure and report, agreed per engagement. Service-level commitments are set in your agreement.
How it works
-
Discovery call
We review which clients you want on advisory, the tools you own, your report template and how your partners run client meetings. You pick the first clients.
-
Template and mapping build
We map each client's chart of accounts to your KPI definitions, build the pack template in Fathom, Syft or spreadsheets, and agree variance thresholds and the narrative style.
-
First packs in parallel
A named accountant, backup and team lead build the first month's packs. Your partner marks them up before the client meeting and we update the template and checklist.
-
Monthly operations
After each client's close, the pack is built, tied out, passed through Two-Tier Review and delivered to the partner with a draft narrative and a list of talking points.
Software we work in
How much does caas support cost?
CAAS support is priced per client pack per month, banded by pack depth, or as dedicated seats for firms with many advisory clients. There is no setup fee and engagements run month-to-month, so you can add clients as your advisory line grows. Pricing depends on volume and scope, and we send a custom quote within 1 business day.
What moves the quote
- Number of advisory clients and packs per month
- Pack depth: reports and dashboards only, or forecasts, budgets and narrative too
- Whether the books are already closed by us or by your team
- Tools in use: Fathom, Syft, spreadsheets or a mix

Frequently asked questions
How much does CAAS outsourcing cost?
Pricing depends on volume and scope, and we send a custom quote within 1 business day. As a market reference, offshore accounting support for CPA firms typically runs $10 to $25 per hour versus $40 to $75 for US-based staff (Madras Accountancy, Acculink, 2026). Most firms are quoted per client pack per month, banded by depth.
Do you give advice to our clients?
No. We prepare the numbers, visuals and a first-draft narrative; your partner reviews, adds the advice and presents. We never join client meetings unless you ask us to sit in silently for notes, and we give no tax, legal or investment advice. The advisory relationship and the fee stay with your firm.
What if the client's books are not closed on time?
A pack is only as good as the close behind it, so we tie every pack to a reconciled ledger. If your team closes the books, we build the pack after your close date. If you want, our close support service runs the close and the pack as one sequence so the pack arrives days after month-end.
How much review does the partner still do?
The partner reviews the narrative and talking points, not the arithmetic. Every figure has passed a tie-out and Two-Tier Review before delivery. Most partners spend their review time deciding what to say to the client, which is the part they wanted to keep.
Is client confidentiality protected?
Yes. Access is reporting-level wherever the tool allows, with MFA and a log per user. Staff sign an NDA for your firm and every client, work on managed devices and never download data locally. Packs and dashboards carry only your brand. IRS section 7216 consent is not needed because no tax-return information is involved.
Which tools do you build packs in?
Fathom and Syft are the most common, connected to QuickBooks Online or Xero. We also build in spreadsheets or Google Sheets for firms that prefer their own layout, and can prepare board packs from Sage Intacct data. Templates carry your logo, colors and section order.
Can you work with our time zone and meeting calendar?
Yes. Our team covers US Eastern and Pacific hours, UK hours and Australian Eastern hours. Pack delivery dates are set per client around your meeting calendar, and the weekly status report shows which packs are ready, in review or waiting on a close.
Can you prepare forecasts and budgets as well as reports?
Yes. We build and refresh 13-week cash-flow forecasts, annual budgets and quarterly reforecasts in your format, and load them into Fathom or Syft for budget versus actual reporting. Assumptions are documented in the pack so the partner can defend every number in the client meeting.
