Why businesses on Fathom outsource

Fathom is only as good as the ledger it reads. When the source file is closed late or half reconciled, the report goes out with the wrong gross margin and the forecast starts from a balance sheet nobody signed off. The consolidation shows an intercompany difference, and the tool gets blamed for the bookkeeping.

A dedicated accountant fixes the order of operations, so reporting follows the close rather than racing it. We close and reconcile the ledger first, then refresh Fathom, check the account classifications and divisions, review the KPIs against the source and publish the report pack or forecast on the agreed date. You keep the Fathom subscription and the templates you have built; the numbers underneath them stop moving.

What we do inside Fathom

Source ledger close before refresh

We close and reconcile the connected Xero, QuickBooks Online, QuickBooks Desktop or MYOB file, then trigger the Fathom data refresh so every report reads a locked period.

Account classification and chart mapping

Each account is classified in Fathom as revenue, cost of sales, operating expense, asset or liability correctly, so gross margin, EBITDA and working capital KPIs are right.

Divisions and tracking categories

Classes, tracking categories or locations from the ledger are mapped to Fathom divisions and kept consistent, so divisional profit reports do not carry an unassigned column.

Consolidations

For groups we build the Fathom consolidated group, set currency conversion and elimination entries for intercompany balances, and check the consolidated balance sheet ties to the entity files.

KPIs, alerts and benchmarks

Financial and non-financial KPIs are defined with your targets, non-financial data such as headcount or units is imported from a spreadsheet each month, and alerts are set so a missed target is flagged.

Report builder and three-way forecasts

We maintain your report templates, schedule the monthly pack, and build or update the three-way forecast with scenarios and microforecasts for hires, loans and capital spend.

Integrations we reconcile

  • XeroTracking categories, actuals and budgets synced to Fathom after each locked close.
  • QuickBooks OnlineClasses and locations mapped to divisions, with P&L, balance sheet and cash flow refreshed monthly.
  • QuickBooks DesktopData uploaded from Desktop after reconciliation so reports reflect the closed period.
  • MYOBAccountRight and MYOB Business data synced with jobs and categories mapped to divisions.
  • Excel importBudgets, non-financial KPIs and ledgers without a direct connection loaded by template each month.

Migration to and from Fathom

Moving to Fathom

Adopting Fathom is less a migration than a setup. We connect each ledger, classify every account, map tracking categories or classes to divisions, import budgets, define KPIs and targets, and build the first report template with you. If you are replacing spreadsheet reporting, we run one month in both formats so your board sees the same numbers before the spreadsheet is retired.

Moving from Fathom

Businesses leave Fathom for a planning tool inside their ERP, such as Sage Intacct Planning or NetSuite Planning and Budgeting, or for a data warehouse. We export the report history, KPI definitions, budgets and forecast assumptions, and document the account classifications and division mappings. The core reports are rebuilt in the new tool with one month compared side by side.

Accounting software setup and migration

Common Fathom reconciliation problems we fix

  1. Fathom refreshed before the ledger was closed

The report pack shows a month with unreconciled bank lines and missing accruals, and the numbers change the next time anyone looks. We fix the sequence so the refresh only runs after the period is locked.

  2. Gross margin wrong because accounts are misclassified

Direct costs classified as operating expenses, or the reverse, move gross margin by whole percentage points. We review every account's classification against the chart and correct the history.

  3. Divisions with an unassigned column

Tracking categories left blank in the ledger appear in Fathom as an unassigned division that distorts every comparison. We back-fill the source transactions and make tracking mandatory at entry.

  4. Consolidation does not balance

Intercompany loans and recharges recorded on different accounts in each entity fail to eliminate. We standardize the intercompany accounts in each ledger and set the elimination entries in the Fathom group.

  5. Forecast built on a stale opening balance sheet

A three-way forecast that starts from an old or unreconciled balance sheet produces a cash line nobody believes. We rebase the forecast on the latest locked close and document each assumption.

Frequently asked questions

Do you work inside my existing Fathom subscription?

Yes. You add our accountant as a user in your Fathom organization with the company access you choose, or your accounting firm does so from its own Fathom account, and you keep the subscription and the templates you own. We refresh, check and publish inside it, and access can be changed at any time.

Can you clean up my Fathom file?

Yes, and it usually starts in the ledger. A Fathom cleanup reviews account classifications, division mappings, KPI definitions, consolidation eliminations and the refresh timing, then fixes the source file where the real problem lives. Our bookkeeping cleanup service handles the ledger side and our financial reporting service handles the templates and KPIs.

How much do Fathom bookkeeping services cost?

Pricing depends on volume and scope, so we send a custom quote within 1 business day. The drivers are how many companies and consolidations you run, whether we also close the underlying ledgers, the number of report packs and forecast scenarios each month, and how much non-financial data needs importing.

Which accounting systems can you connect to Fathom?

We work with Fathom's direct connections to Xero, QuickBooks Online, QuickBooks Desktop and MYOB, and with Excel imports for ledgers or data without a connection. The named accountant who closes your ledger is the same person who checks the Fathom refresh, which is why the two stay in step.

Can you build our board pack and cash flow forecast in Fathom?

Yes. We build the monthly report template, KPI page and commentary placeholders, then the three-way forecast with scenarios for hires, pricing changes and capital spend, and deliver both on a fixed calendar. Our financial reporting and cash flow forecasting services describe the deliverables and the review steps.

Does Fathom replace my bookkeeper or my accountant?

Neither. Fathom reads a ledger; it does not reconcile one, and it does not give tax or investment advice. Our accountant keeps the ledger closed and the Fathom mapping right, your accountant or CPA files the returns, and you keep the decisions. Fathom makes the numbers readable; the bookkeeping makes them true.
