Why businesses on TaxDome outsource
Firms adopt TaxDome to standardize how work flows: pipelines, automations, organizers and e-signatures all live in one place. The bottleneck then shifts from process to people. Jobs sit in the waiting-on-documents stage, bookkeeping for write-up clients falls behind, and partners spend evenings on data entry that a trained accountant could do inside the same system.
Outsourcing the staff-level work keeps the firm's TaxDome setup intact while adding capacity without headcount. A dedicated accountant takes the pipeline stages your team has defined, works them in order, and hands each job to your reviewer with the workpapers attached. The firm keeps client ownership, sign-off and the client relationship. Month-to-month terms mean capacity can flex with tax season.
What we do inside TaxDome
Pipelines and automations
We work the stages you build in TaxDome pipelines, complete the tasks attached to each stage and move jobs forward so automations fire on schedule. Nothing is re-engineered without your approval.
Organizers and document requests
We send organizers, follow up on unanswered document requests through secure messages, and file what arrives into the client's TaxDome Docs folders using your naming rules.
Client bookkeeping in your ledger
For write-up clients we post, categorize and reconcile in the linked QuickBooks Online or Xero file, then attach the trial balance and reconciliation reports to the TaxDome job.
Tax preparation support: your firm reviews and signs
We prepare workpapers, enter data into the return in your tax software and clear diagnostics for e-file readiness. Your firm reviews, signs and e-files. We hold no PTIN and never sign or transmit a return.
Section 7216 consent tracking
Before any US tax-return information is shared with our team, we help the firm obtain IRS section 7216 written consent through TaxDome e-signature and log the consent against the client record.
Invoices, time and payments
We raise invoices from TaxDome time entries or your fixed-fee templates, track payments taken through TaxDome's payment processing, and reconcile them to the firm's own books each month.
Integrations we reconcile
- QuickBooks OnlineWe reconcile TaxDome invoices and payments synced to the firm's QuickBooks Online file and clear unmatched items monthly.
- Drake TaxReturns printed to TaxDome from Drake are filed to the client folder and linked to the job for reviewer sign-off.
- LacerteLacerte outputs saved through the TaxDome print driver are matched to the pipeline job and the section 7216 consent on file.
- UltraTax CSUltraTax return packages are stored in TaxDome Docs and routed for e-signature of Form 8879 by the firm.
- StripeClient card payments taken through TaxDome are matched to Stripe payouts and posted to the firm's ledger.
Migration to and from TaxDome
Moving to TaxDome
Moving a firm onto TaxDome means rebuilding client lists, contacts, pipelines and document folders in a new structure. We help import clients by CSV, map existing job stages to TaxDome pipelines, upload prior-year files into client folders and set up organizer templates. The firm approves every pipeline before it goes live. We do not change engagement terms or client-facing messaging without written sign-off.
Moving from TaxDome
If the firm is leaving TaxDome for Karbon, Canopy or another platform, we export client records, open jobs, time entries and documents in an ordered set. Each export is checked against a control count before the old account is closed. Invoices and payments are reconciled to the general ledger so no revenue or receivable is lost in the move, and prior-year files stay retrievable.
Common TaxDome reconciliation problems we fix
Jobs stalled at document stages
Pipelines only move when someone chases the missing items. We follow up on open organizer and document requests every business day and log each contact in the client record.
Write-up clients behind at tax time
Bookkeeping for small business clients often waits until the return is due. We keep monthly books current all year so the tax job starts from a reconciled trial balance.
Partners doing data entry
Senior staff entering source documents into returns is expensive capacity. We enter data and prepare workpapers; the partner reviews and signs.
Firm invoicing lags the work
Time sits unbilled when nobody turns entries into invoices. We bill from TaxDome each week or month on the schedule you set and reconcile payments to your ledger.
Consent and access records are scattered
Section 7216 consents, engagement letters and signed 8879s need to be findable in one place. We file each against the client folder and confirm the consent exists before touching return data.

Frequently asked questions
How much do TaxDome bookkeeping services cost?
Pricing depends on volume and scope, so we send a custom quote within 1 business day. The quote reflects how many clients sit in your pipelines, whether you need bookkeeping, tax preparation support or both, and seasonal peaks. As a market reference, offshore staffing for CPA firms typically runs $10 to $25 per hour against $40 to $75 for US-based staff (Madras, Acculink, 2026).
Do you work inside my existing TaxDome account?
Yes. Your firm adds our named accountant as a team member with the access rights you choose. Clients, pipelines, documents and billing stay in your account, under your subscription and your firm's name. Nothing is copied to a separate system.
Will you sign or e-file returns from TaxDome?
No. We provide tax preparation support only: workpapers, data entry and diagnostics review. Your firm reviews, signs and e-files every return. We hold no PTIN. See our tax preparation support page for the full division of duties.
How is IRS section 7216 consent handled?
Before any US tax-return information is shared with our team, the firm obtains written section 7216 consent from the client, which can be signed through TaxDome e-signature. We record the consent date against the client record and do not open return data until it is in place.
Can you run our client bookkeeping as well as the tax work?
Yes. Many firms have us keep the monthly books in the client's QuickBooks Online or Xero file, then prepare the year-end workpapers from those reconciled books. The firm's reviewer sees one connected set of files. Our dedicated accountants page describes the staffing model.
Who on your side will we deal with?
A named accountant, a trained backup and a team lead. Your firm messages them directly through TaxDome or the LedgerDesk portal. The same people stay on your account month to month, so they learn your pipelines, your naming rules and your clients.
