Which is better for invoicing and getting paid?
For invoicing volume, Xero鈥檚 Growing and Established plans and every QuickBooks Online plan are unlimited. The Xero Early plan鈥檚 20-invoice cap rules it out for anything beyond a very small consultancy. Both products support recurring invoices, online card and bank payments, automatic reminders and customer statements.
QuickBooks Online has the edge for US businesses that use QuickBooks Payments, because deposits, fees and payouts land in the ledger without a third-party connector. Xero has the edge for teams that want several people raising invoices, because every user is free. Which handles bills, bank feeds and reconciliation better?
Bank feeds are close to equal. Both pull daily transactions from most banks in the US, UK, Canada and Australia, both support rules, and both show a clear reconciliation screen. Xero鈥檚 design keeps the statement line and the ledger entry side by side, which many bookkeepers find quicker for high volumes. QuickBooks Online鈥檚 rules engine is more granular and its reconciliation report is the format most US accountants expect.
For bills, QuickBooks Online includes bill tracking from Essentials and free ACH payments in the US. In plain terms: a US business will find more QuickBooks-fluent accountants, and a UK or Australian business will find more Xero-fluent ones.
