Who it is for
Owner-operators
Your office manager answers billing calls between everything else, and reminder calls never quite happen. A dedicated agent gives billing its own phone line and its own weekly cadence.
Finance managers
Your AR desk posts and reconciles well but has no time to talk to customers. An agent plus accountant pair puts the calls and the posting in one pod with one report.
Healthcare practices
Patient balances, payer follow-up and eligibility calls need HIPAA-trained agents. Our medical billing team and billing agents work as one unit, under a signed BAA.
What's included
- Inbound billing line answered in your company name during your hours
- Outbound pre-due and past-due reminder calls on an agreed cadence
- Invoice questions, disputes and refund requests logged and routed
- Promise-to-pay capture with follow-up dates in the DunningDesk log
- Payment guidance through your own portal or IVR; no card data taken
- SMS, email and live chat replies from approved templates
- Statement copies and invoice re-sends handled within the same contact
- Dispute and escalation tickets handed to your named contact
- Call notes written against the customer record in your software
- Weekly contact report: volume, outcomes and reasons for calls
- Backup agent and team lead for leave and peak days
- Scripts reviewed against TCPA, PECR, ACMA and CRTC rules
Deliverables and KPIs

| Dispute and escalation register | Open disputes listed with reason code, owner and age | Weekly |
| Cash outcome report | Dollars promised versus dollars received, by aging bucket | Monthly |
| Quality review | Sampled calls scored against script and compliance checklist | Monthly |
KPIs are what we measure and report, agreed per engagement. Service-level commitments are set in your agreement.
How it works
-
Discovery call
A 20-minute call to map your call volume, channels, billing software, phone system and the countries you sell into. We agree which package fits: dedicated agent, shared desk or agent plus accountant pair.
-
Scripts, access and number setup
We draft call scripts and email templates in your voice, set up a number or queue in your phone system, and take least-privilege access to your billing software. You approve everything before the first call.
-
Dedicated agent assigned
A named agent, a trained backup and a team lead take the line. The first two weeks run with daily check-ins so tone, edge cases and escalation paths are settled early.
-
Weekly reporting and tuning
Every week you receive the contact report and dispute register. The team lead reviews sampled calls and adjusts scripts with you as reasons for calls change.
Software we work in
How much does billing calls cost?
Billing call center services are priced in one of three ways: a dedicated billing agent, full-time or part-time in your hours; the shared BillingLine desk, charged per call or per minute; or an agent plus accountant pair that handles calls and posting together. Engagements run month-to-month with no setup fee. Pricing depends on volume and scope, so we send a custom quote within 1 business day.
What moves the quote
- Monthly inbound and outbound contact volume across phone, SMS, email and chat
- Hours of coverage, including evenings, weekends and time zones
- Whether the agent also posts payments and reconciles in your software
- Compliance scope, such as HIPAA-trained agents for patient calls

Billing calls for your industry
Security and compliance
- Agents never see or store card data; payments go through your own portal or IVR
- Call recording only where consent rules allow, stored under your retention policy
- HIPAA-trained agents and a signed BAA for any patient-facing calls

Frequently asked questions
How much do billing call center services cost?
Billing calls are priced per dedicated agent (full- or part-time in your hours), per call or minute on the shared BillingLine desk, or as an agent plus accountant pair. Volume, hours of coverage and compliance scope move the quote. Pricing depends on volume and scope, so we send a custom quote within 1 business day.
Are you a third-party collector?
No. We are not a debt collection agency and we never act as a third-party collector. Every call, text and email is first-party communication made in your company's name, using your scripts and your tone. Accounts you decide to place with a licensed collector leave our desk at that point.
Which calling rules do your agents follow?
Scripts are written to be TCPA- and FDCPA-aware in the US, follow PECR and Ofcom rules in the UK, ACMA rules in Australia and CRTC rules in Canada. Agents honor local call-time windows, do-not-call requests and opt-outs, and call recording consent follows the rules of the customer's jurisdiction.
Do you record calls?
Only where the law and your policy allow it. In two-party consent states and in the UK, Australia and Canada, the script includes a recording notice before the conversation starts. Recordings are stored under your retention policy and are used for quality review, not marketing.
Can your agents take card payments over the phone?
Agents guide customers to your own payment portal, payment link or IVR and stay on the line if help is needed. They never read, key in or store card numbers. This keeps card data inside your PCI-scoped systems and out of ours.
What hours can you cover?
Our team covers US Eastern and Pacific hours, UK hours and Australian Eastern hours, with a second office in Pakistan providing the overlap. Dedicated agents work the hours you set. Evening, weekend and seasonal cover is handled by our after-hours billing line.
Which phone system do you use?
We work inside your existing phone or help desk system, such as RingCentral, Zendesk or Freshdesk, so recordings and tickets stay with you. If you have no phone system, we provide a client-branded line on our own desk and forward the number you already publish.
How do you handle a customer who disputes an invoice?
The agent logs the dispute with a reason code, pauses reminders on that invoice, and routes it to your named contact with the call notes. Once you decide on a credit, re-bill or hold, the agent calls back with the outcome. The dispute register shows every open case and its age.
Do you handle patient and insurance calls?
Yes. Patient billing calls, insurance follow-up calls, eligibility verification and prior authorization are handled by HIPAA-trained agents under a signed BAA. These agents sit beside our medical billing team, so a payer answer is worked into the claim the same day.
How do agents learn our products and billing policies?
During setup we build a short knowledge base from your price list, terms, refund policy and the top twenty reasons customers call. The agent trains on it with your team, and the team lead updates it as new questions appear. Anything outside the knowledge base is escalated, not guessed.
