Why businesses on Zoho Books outsource
Zoho Books rarely runs alone. Zoho CRM creates the customers, Zoho Inventory raises the sales orders, Zoho Expense pushes the claims, and Zoho Books receives all of it whether or not anyone checks the postings. Add transaction rules that were set up once and never revisited, and the bank reconciliation stops agreeing with the feed within a quarter.
A dedicated accountant becomes the checkpoint between the apps and the ledger. We review what each Zoho app syncs, reconcile every bank and card account, keep reporting tags filled, and run transaction approvals so bills and expenses are reviewed before posting. You keep your Zoho One or Zoho Books plan and your admin role; we keep the books closed and tied out.
What we do inside Zoho Books
Bank feeds and transaction rules
We categorize the bank feed against invoices, bills and receipts, and maintain transaction rules that only auto-categorize predictable lines such as bank fees and subscriptions.
Account reconciliation
Every bank, credit card and payment gateway clearing account is reconciled to a statement in the reconcile account screen each month, with differences investigated rather than adjusted away.
Reporting tags and Projects
We configure reporting tags for departments, locations or lines of business, apply them on every transaction, and use Projects with timesheets to bill time and track job margin.
Autoscan receipts and Zoho Expense
Receipts uploaded to Autoscan or claimed through Zoho Expense are checked for amount, tax and category before they post as expenses or bills.
Transaction approvals and workflow rules
We set up transaction approval for invoices, bills and expenses, and workflow rules that flag unusual amounts, so nothing posts without a reviewer.
Multi-currency and custom reports
For foreign customers and suppliers we run multi-currency with exchange rate adjustments at month-end, and build custom reports and scheduled report emails for your management pack.

Migration to and from Zoho Books
Moving to Zoho Books
Moving to Zoho Books from QuickBooks Online or Xero usually happens when a business adopts Zoho One. We agree a cut-off date and reconcile the old ledger. Then we import the chart of accounts, contacts, items, opening balances and open invoices and bills with Zoho's import templates, set up taxes, bank feeds, reporting tags and approvals, and check the first month in both systems.
Moving from Zoho Books
Leaving Zoho Books for NetSuite, Sage Intacct or QuickBooks Online follows the same order in reverse. We close and reconcile the final period, export the general ledger, contacts, items, aged receivables and payables and tax reports, and map reporting tags to the new system's classes or dimensions. Zoho Books stays read-only until the first close in the new ledger agrees.
Common Zoho Books reconciliation problems we fix
Zoho app syncs posting twice
An invoice created in Zoho CRM and again in Zoho Books, or a stock adjustment pushed from Zoho Inventory after a manual entry, doubles revenue or COGS. We audit the sync settings and remove the duplicates at source.
Transaction rules categorizing everything the same way
A rule on a broad keyword sends unrelated payments to one expense account for months. We review each rule, recategorize the affected transactions and rewrite the conditions.
Bank feed disconnected and gaps filled by hand
When the feed drops, statements get imported on top of the reconnected feed and lines are doubled or missing. We reconcile the account to the statement and fix the overlap window.
Unapplied customer payments and credits
Payments recorded without an invoice sit as excess payments, so the aging overstates receivables. We apply each payment or credit note to the right invoice and reconcile the customer balances.
Tax set at contact level disagrees with the item
GST, VAT or sales tax pulled from a contact's default overrides what the item should carry, and the tax report drifts from the return. We correct the defaults and reconcile the tax liability account each period.

Frequently asked questions
Do you work inside my existing Zoho Books subscription?
Yes. You add our accountant as a user with the role you choose, or through the accountant invite, and you keep the Zoho Books or Zoho One subscription and admin control. We work inside your organization daily and you can revoke access at any time. Nothing is copied to a system of ours.
Can you clean up my Zoho Books file?
Yes. A cleanup reviews every bank and card reconciliation, transaction rules, duplicate syncs from other Zoho apps, unapplied payments, reporting tag gaps and tax defaults. We correct the transactions at source, reconcile each account to a statement and set a transaction locking date. Our bookkeeping cleanup service describes the scope and hand-off.
How much do Zoho Books bookkeeping services cost?
Pricing depends on volume and scope, so we send a custom quote within 1 business day. The drivers are transaction volume, the number of accounts and currencies, how many Zoho apps feed the ledger, and whether invoicing, bills, expense claims or inventory checks are part of the monthly work.
Do you handle the Zoho Books editions for the UK, Canada and Australia?
Yes. Zoho Books has country editions with VAT, GST/HST and GST built in, and our named accountant works in whichever one you use. We reconcile the tax liability and prepare VAT workings or BAS workpapers for your accountant or TPB-registered BAS agent, who submits or lodges. Local spelling and date formats are respected.
Can you connect Zoho Books to my payment gateways and marketplaces?
Yes. We set up Stripe, PayPal or Square as payment gateways in Zoho Books, reconcile payouts through a clearing account so fees are recorded, and check the gateway balance monthly. Our payment processor reconciliation service explains how payouts are matched to invoices and fees.
Will you set up approval workflows in Zoho Books?
Yes. We configure transaction approval so invoices, bills and expenses above a threshold wait for an approver, and add workflow rules that email you about unusual entries. You approve; we prepare and post. This gives a small team the control of a larger finance function without more staff.
