Who approves expenses?
Your managers do, by the approval flow we configure. Our specialist prepares each item: coded, receipt attached, policy checked and flagged if it breaks a rule. The approver sees a clean claim and a clear reason for any flag. Reimbursements are then batched for release by you; we never move money.
How do you handle missing receipts?
The specialist sends a reminder under your brand after three days, a second after seven and escalates to the manager at fourteen. Most receipt gaps close by the second reminder once staff learn someone is watching. Items still missing at month-end are coded with a note so the close is not held up.
Can you write our expense policy?
We draft a one- to two-page policy from a template we use across clients, covering categories, limits, receipt thresholds, mileage, per diems and personal use of cards. You and your advisors decide the rules; we configure the tool to enforce them. We do not give tax or legal advice on deductibility.
What about personal spending on company cards?
It happens. Personal items are flagged, coded to an employee receivable and reported for repayment through payroll deduction or reimbursement, whichever your policy allows. The employee gets a short note explaining what was flagged and why. Repeat cases are highlighted in the monthly spend report so you can address them.
