How much do vendor management services cost?
Pricing depends on volume and scope, and we send a custom quote within 1 business day. For most clients vendor management is included inside accounts payable; on its own it is a small monthly fee driven by active vendor count and onboardings. As a market reference, US outsourced bookkeeping and AP plans run $150 to $1,600 per month (indinero, 2026).
Why collect a W-9 before the first payment?
Because after the payment is made, the vendor has little reason to return the form, and January becomes a chase. A W-9 gives you the legal name, tax ID and entity type needed to decide whether a 1099 is due. Foreign vendors give a W-8 instead. We hold the first payment in the queue until the form is on file, unless you tell us otherwise.
How do you prevent bank-detail fraud?
Every new vendor and every change to payment details is confirmed by a phone call to a number already on file or on the vendor's official website, never a number in the request. The verification is logged with the name of the person who confirmed it. Emails asking for urgent changes are treated as suspicious until verified.
What is a supplier statement reconciliation?
It compares the vendor's statement of what you owe with what your AP ledger shows. Differences reveal invoices you never received, credits you never applied, payments the vendor has not matched, or disputed charges. We reconcile top vendors monthly and all vendors quarterly, and chase each difference until it is cleared.
Can you clean up a vendor list with years of duplicates?
Yes, as a one-time project before the ongoing service. We export the list, group likely duplicates by name, tax ID and bank details, confirm the merges with you, archive inactive vendors and reissue a clean master. Transaction history is preserved under the surviving record.
Do you track subcontractor insurance and licenses?
Yes, where you need it. Construction, transport and home-care clients often must hold a current certificate of insurance or license for each subcontractor. We record expiry dates in the vendor record and flag them 30 days ahead so a renewal is requested before the certificate lapses.
How does this connect to 1099 preparation?
Every US vendor is flagged during onboarding as 1099-eligible or exempt, based on the W-9 and the type of payment. Payments are coded during the year. In January the 1099 preparation service runs the report, compiles the data and drafts the forms; you or your firm reviews and files.
