How often should my bank accounts be reconciled?

Monthly is the minimum for most small businesses, because it lines up with the statement cycle and the month-end close. Businesses with hundreds of card transactions a week, such as restaurants and online stores, benefit from weekly reconciliation so a missing deposit or duplicate charge is found within days. We agree the cadence with you at the start.

What happens when the reconciliation does not balance?

We find the cause rather than force it. Common reasons are a transaction posted twice, a deposit recorded at the wrong amount, a bank fee never entered, or a transfer matched on one side only. Each item goes on the exception note with a proposed fix. Nothing is written off to a suspense or miscellaneous account without your approval.

Do you reconcile credit cards, PayPal and Wise as well?

Yes. Every account that holds your money or extends you credit is reconciled: business credit cards, charge cards, fuel cards, lines of credit, PayPal, Wise and similar balances. Marketplace and processor payouts from Stripe, Shopify, Amazon and Square are handled under our payment processor reconciliation service, which also matches fees and refunds.

Do you need my online banking login?

No. We work from read-only bank feeds connected inside your accounting software and from the PDF or CSV statements you upload to the LedgerDesk portal. Nobody on our team can initiate a payment or transfer. Where a bank does not support feeds, you or your office manager downloads the statement and we reconcile from that.

My accounts have not been reconciled in over a year. Can you fix that?

Yes. We start with a clean-up project that reconciles each back month in order, corrects the opening balances and documents every adjustment for your accountant. Once the history is clean you move onto the monthly service. Our catch-up bookkeeping and bookkeeping clean-up pages explain how that project is scoped and quoted.

Which accounting software do you reconcile in?

We reconcile inside your existing file: QuickBooks Online, QuickBooks Desktop, Xero, Zoho Books, Sage 50, Wave and FreshBooks are the most common. You keep the subscription and the data. We use each product's own reconciliation tool so your accountant sees a standard reconciliation report, not a spreadsheet on the side.

Who checks the reconciliation before I see it?

A second accountant does. Your named accountant prepares each reconciliation, then the team lead reviews it under our Two-Tier Review process: statement balance agreed, outstanding items reasonable and aged, no stale items older than 30 days, and every adjustment explained. Only then is the report released to you.

Will you catch bank errors or fraud?

Reconciliation is the control that finds them. Any debit we cannot match to a bill, payroll run, transfer or known subscription goes on the exception note for you to confirm. We also list new payees and unusual amounts. We do not investigate or contact the bank on your behalf, but you will know quickly and can act.
