Why not just use Dext or Hubdoc on their own?

Capture tools read most receipts well but still need someone to check the supplier, date, tax and coding, handle the documents they misread, and chase the ones that never arrived. The specialist runs the tool, corrects it, and files what it cannot handle, so the tool's output is reliable.

How do you measure accuracy?

A second person checks a sample of entries each week against the source document for supplier, date, amount, tax and coding. We report the accuracy rate monthly along with the errors found and the rule changes made. We report the figure rather than promise one, because document quality varies by client.

Which portals can you upload to?

Lender and bank portals for covenant packages, customer AP portals such as Ariba and Coupa, broker portals for trucking and NEMT, and payer or state portals for home care documentation. You grant the login, we upload on the schedule and log the confirmation reference.

How does W-9 chasing work?

Each week the specialist lists vendors paid above the reporting threshold without a W-9 or W-8 on file, requests the form by email in your company name, and follows up until received. Follow-up calls are first-party under your brand on our BillingLine desk; we are not a debt collection agency and these contacts are about paperwork only. Calls follow TCPA-aware rules in the US and PECR, ACMA and CRTC rules elsewhere, with call-time windows, opt-outs and recording consent honored.

Can you handle documents with patient information?

Yes. Home care, NEMT and clinic clients send trip sheets, visit notes and EOBs that contain patient information. Those are handled by HIPAA-trained staff under a signed BAA, filed only inside your systems, and never downloaded to local devices. Access is logged and limited to the specialist and the second-person checker.

What filing structure do you use?

Yours if you have one, or a simple structure by entity, year, month and document type with a consistent file name: date, vendor, amount and reference. The aim is that your accountant, lender or auditor can find any document without asking. The index is checked monthly.

Does this include bookkeeping?

Data entry covers capture, coding and filing. Reconciliation, adjusting entries and financial statements are part of our outsourced bookkeeping service, and many clients run both with a specialist plus bookkeeper pair so documents are attached before the month closes.
