What is inbound billing support outsourcing?
Inbound billing support outsourcing means a remote team answers the billing calls, emails and chats your customers send, instead of your finance or front-office staff. The team works from your scripts, price list and refund policy, has read access to your invoicing software, and resolves routine questions itself while routing anything unusual to a named person on your side.

Who it is for
Owner-operators
Billing calls land on whoever picks up, and half of them get a call-back promise that slips. A dedicated help desk gives customers one number and one consistent answer.
Subscription and SaaS businesses
Card declines, plan changes, proration questions and refund requests arrive daily. An agent who knows Stripe and your plan rules clears them without a support engineer.
Field-service and trade companies
Customers call about a line item on a job invoice while your office is dispatching crews. A billing desk with the job record open settles the question in one call.
What's included
- Inbound billing line answered in your company name
- Invoice line-item questions answered from the record in your software

- Refund and credit requests checked against your policy and routed
- Statement, invoice and receipt copies sent during the call

- Callback queue for anything needing your team's decision
- Daily hand-off note listing open items and who owns them

How it works
-
Discovery call
We map your contact volume by channel, the systems your invoices come from, your refund and dispute rules, and who on your team makes decisions the agent cannot.
-
Knowledge base and access
We turn your price list, terms and top call reasons into a short knowledge base and script set. You grant read access to your billing software and a queue in your phone or help desk system.
-
Dedicated agent assigned
A named agent, a backup and a team lead start on the line. The first two weeks include daily hand-off calls so edge cases get answers and the knowledge base grows.
-
Weekly review
You receive the contact report, dispute register and reason-for-contact analysis. The team lead proposes fixes upstream, such as clearer invoice wording, so repeat calls fall over time.
Software we work in
How much does inbound billing support cost?
Inbound billing support is priced per dedicated agent, full-time or part-time in your hours, or per call and per minute on the shared BillingLine desk when volume is low or uneven. Clients who also want payments posted choose an agent plus accountant pair. Pricing depends on volume and scope, so we send a custom quote within 1 business day.
What moves the quote
- Monthly contacts by channel: phone, email, chat and SMS
- Hours of coverage and number of time zones
- Complexity of your price list, plans and refund rules
- Whether the agent also posts credits, refunds and payments

Inbound billing support for your industry
Security and compliance
- Least-privilege read access to your billing software; agents cannot issue refunds without approval
- Card data is never read, typed or stored; your portal or IVR handles payment
- Recording notices and consent follow each customer's jurisdiction

Frequently asked questions
How much does inbound billing support outsourcing cost?
Inbound billing support is priced per dedicated agent (full- or part-time in your hours), per call or minute on the shared BillingLine desk, or as an agent plus accountant pair. Contact volume, coverage hours and the complexity of your billing rules move the quote. Pricing depends on volume and scope, so we send a custom quote within 1 business day.
Will customers know they are speaking to an outsourced team?
Agents answer in your company name, use your greeting and follow your tone guide. All communication is first-party under your brand. We are not a debt collection agency and we never present ourselves as a third party, so the customer's experience is of calling your billing department.
What can the agent decide without asking us?
Whatever your policy allows. Most clients let the agent re-send invoices, update billing contacts, explain charges and log disputes on their own, while refunds and credits above a set amount go to a named approver. The limits are written into the knowledge base before the first call.
Can the agent take a card payment while the customer is on the line?
The agent sends a payment link or walks the customer through your portal or IVR and stays on the line until it completes. Agents never see or store card numbers. If your system supports it, the agent can confirm the payment posted before ending the call.
Which rules apply to inbound calls?
Inbound calls carry fewer restrictions than outbound ones, but the same care applies. Scripts are TCPA- and FDCPA-aware in the US, respect PECR and Ofcom guidance in the UK, ACMA in Australia and CRTC in Canada. Call recording consent follows the customer's jurisdiction, callbacks stay inside local call-time windows, and any opt-out request is recorded the same day.
How do you reduce the number of billing calls we get?
The monthly reason-for-contact analysis lists the top ten call drivers and a fix for each, such as clearer invoice line descriptions, a due-date reminder email or a portal FAQ. Many clients pair this service with our invoicing and billing service so fixes go straight into the invoice template.
Do you handle patient billing questions?
Yes, through our patient billing call center, where HIPAA-trained agents work under a signed BAA. Patient calls follow a separate script covering balance explanation, insurance status and payment plans, and sit beside our medical billing team so claim questions are answered from the source.
What happens outside our office hours?
Your dedicated agent works the hours you set. Calls outside those hours can roll to our after-hours billing line, to voicemail with a next-morning callback, or to an email auto-reply, depending on what you choose during setup. Whichever you choose, every contact appears on the next morning's hand-off note.
