How it works
From first call to first close
Four beats, one fixed calendar. The same sequence runs for a two-person agency and a 12-office practice.
-
Onboard
A 20-minute discovery call, accountant access to your software, read-only bank feeds, a chart-of-accounts review and a cut-over date, agreed within 48 to 72 hours.
- Named accountant, backup and team lead assigned
- Access granted through your software, never shared passwords
-
Post and reconcile
Transactions are categorized weekly, receipts matched, bills captured and every bank, card and payout account reconciled on the CloseTrack calendar.
- Open-items list every week
- Zero unreconciled items older than 30 days
-
Invoice and collect
Invoices go out on schedule, DunningDesk reminders and first-party calls follow the aging buckets under your brand, and every payment is applied to its invoice.
- Promise-to-pay log you can see
- You approve and release every outgoing payment
-
Close and report
The close runs through Two-Tier Review, then you get statements, a KPI view and a short note on what changed and why.
- Close status visible in LedgerDesk
- Tax-ready package at year-end for your CPA or agent

Frequently asked questions
How long does onboarding take?
Access, chart-of-accounts review and a cut-over date are usually agreed within 48 to 72 hours of signing. The first full close depends on where the books stand; clean feeds close in the first month, backlogs start with a catch-up project.
What access do you need?
An accountant or advisor role in your accounting software, read-only bank feeds where your bank supports them, and access to the tools the work touches (payroll, payments, practice management). We never ask for online-banking credentials that can move money.
How do we communicate?
Through the LedgerDesk portal for tasks and documents, email for the weekly note, and a scheduled call as often as you want. Your named accountant answers during your business hours.
What if my accountant is off?
The trained backup, who already knows your file, steps in. The team lead stays the same. Nothing waits for someone to come back from leave.
Can we stop?
Yes, with a month’s notice. Your software, data and bank relationship were always yours, so there is nothing to hand back except our access, which we revoke on the last day.
