Why businesses on Ramp outsource
Ramp makes it easy to hand out cards with limits and let staff spend. The transactions then arrive in the ledger at the speed of a card feed, and the coding is only as good as the rules behind it. Merchant-based rules send the whole coffee shop bill to meals even when it was a client gift, receipts go unmatched for weeks, and the Ramp repayment debit sits in the bank with nothing to match it to.
A dedicated accountant works the Ramp queue daily. We review each transaction, fix coding, chase receipts, keep the rules and accounting fields current, and sync in small batches that reconcile straight to the statement. If you also use Ramp bill pay, we prepare bills for your approval and never release payment ourselves.
What we do inside Ramp
Transaction review and coding
We review every Ramp transaction for merchant, category, department and memo, correct the coding, and mark it ready to sync only when the receipt and detail are complete.
Card rules and accounting fields
We maintain merchant and category rules, spend limits per card, and the accounting field mappings so new GL accounts, classes and locations appear in Ramp the same week.
Receipt matching and follow-up
Ramp matches emailed and texted receipts automatically. We chase the ones it cannot match and list missing receipts by cardholder each week.
Sync to QuickBooks Online, Xero or NetSuite
We manage the accounting connection, sync approved transactions in dated batches, and check that each batch posts to the ledger as expected.
Statement and repayment reconciliation
Ramp is a charge card repaid from your bank. We reconcile the statement to the synced transactions and match the repayment debit so the Ramp liability account clears each cycle.
Ramp bill pay and reimbursements
Where you use Ramp for bills or employee reimbursements, we enter and code them for your approval. You approve and release every payment; we never move money.
Integrations we reconcile
- QuickBooks OnlineCard transactions, the Ramp liability account and repayment matches.
- XeroSynced card spend and statement reconciliation against the Xero bank feed.
- NetSuiteTransactions with subsidiary, department and class coding checked on both sides.
- Sage IntacctCard spend synced with dimension coding and reconciled to the statement.
- GustoEmployee roster sync and reimbursements kept separate from card spend.
- Bill.comVendor bills paid in Bill.com kept out of Ramp so nothing is paid twice.
Migration to and from Ramp
Moving to Ramp
Moving card spend onto Ramp starts with the accounting mapping: chart of accounts, departments, classes and tax fields pulled from the ledger and matched to Ramp's accounting fields. We set card limits and rules, add cardholders, connect receipt forwarding, and run the first statement cycle with every transaction reviewed by hand. The old card program is reconciled to its final statement before it is closed.
Moving from Ramp
Leaving Ramp for Brex, Expensify or a bank card program means closing the last statement cleanly. We sync every remaining transaction, chase final receipts, export the transaction history and receipt images, reconcile the final repayment to the bank so the Ramp liability account is zero, and document the rules so they can be rebuilt in the new tool.
Common Ramp reconciliation problems we fix
Repayment debit with nothing to match
Ramp pulls the statement balance from the bank as one debit while the ledger holds dozens of card transactions. We reconcile the statement and match the repayment to the liability account so the bank clears.
Merchant rules coding everything the same
A rule for a merchant sends every purchase there to one account, even when the purpose differs. We review coding transaction by transaction and tighten rules where they cause errors.
Receipts missing for weeks
A card transaction without a receipt is weak evidence at tax time. We list missing receipts by cardholder each week and follow up until the file is complete.
Card feed gaps after a reconnection
When the Ramp connection to the ledger drops and is restored, transactions can be missed or imported twice. We reconcile the Ramp statement to the ledger every month to catch both.
Bills paid through Ramp and again by check
A vendor bill entered in Ramp bill pay and also paid from the bank is paid twice. We check open bills across systems before anything is scheduled for your approval.

Frequently asked questions
Do you work inside my existing Ramp account?
Yes. You add us as a bookkeeper or admin user in your own Ramp account with the permissions you choose. You keep ownership of the account, the cards, the bank connection and every payment approval. We code, match and reconcile; you approve and release any bill or reimbursement Ramp pays.
How much does Ramp bookkeeping support cost?
Pricing depends on volume and scope, so we send a custom quote within 1 business day. The main drivers are transactions per month, the number of cardholders and entities, which ledger Ramp syncs to, and whether bill pay review and monthly bookkeeping are part of the same engagement.
Do you release payments from Ramp bill pay?
No. We never move money. We enter and code bills, attach the invoice, check for duplicates across systems, and schedule them for your approval. You or your authorized approver release the payment in Ramp, and our user role has no payment permission. Our accounts payable service explains how this maker-checker split works.
How do you reconcile Ramp in QuickBooks Online?
Ramp is set up as a credit card liability account. Synced transactions post to that account, the monthly statement is reconciled against it, and the repayment debit from your bank clears the balance. Our bank reconciliation service covers the statement tie-out each cycle.
Can you fix Ramp coding that has been wrong for months?
Yes. We scope it as a cleanup: export the transaction history, recode in the ledger by category and department, correct the rules that caused the errors, and reconcile each past statement. Once clean, the account moves to the daily review service.
Do you also handle Ramp reimbursements to employees?
Yes. Out-of-pocket expenses submitted in Ramp are reviewed for receipt, policy and coding, then scheduled for your approval. When Ramp pays the reimbursement we match the bank debit to the approved items so the reimbursements payable account clears. Our expense management service covers the policy side and how it works alongside card spend.
