Moving to MYOB
Moving to MYOB from Xero or QuickBooks Online happens when your accountant or a payroll need prefers it, so we start by agreeing a conversion date and reconciling the old file. The accounts list, cards, opening balances and open invoices and bills come across, then tax codes, bank feeds, jobs, categories and payroll year-to-date figures are set up. The first BAS period is checked in both systems.
Moving from MYOB
Most businesses leaving MYOB go to Xero, and larger ones to MYOB Acumatica or NetSuite. We reconcile the final period and BAS, then export the general ledger, cards, aged receivables and payables, fixed assets and payroll year-to-date totals. The accounts list and tax codes are mapped to the new file, and MYOB stays open read-only until the first close in the new system agrees.
Common MYOB reconciliation problems we fix
Out of balance on Reconcile accounts
A reconciled transaction was changed or deleted, so the calculated statement balance no longer matches. We use the reconciliation report to find the change, restore it and re-reconcile the period.
Wrong GST codes flowing into the BAS
Bank fees coded GST instead of FRE, overseas subscriptions coded GST instead of N-T, and capital purchases missed as CAP all distort the return. We correct codes at source and reconcile the GST accounts before the workpapers go out.
Undeposited funds never cleared
Payments recorded to undeposited funds and then matched again from the bank feed leave a growing balance. We match the deposits to the payments already recorded and clear the account to zero.
Bank feed lapsed and gaps filled by hand
When a card was replaced or the feed application expired, transactions were keyed by hand and later doubled when the feed returned. We reconcile the gap period to the statement and remove the duplicates.
Superannuation and PAYG not matching the ATO
Super payable and PAYG withholding in the ledger drift from what was paid through the clearing house and the ATO Integrated Client Account. We reconcile both each quarter and post the corrections before the BAS workpapers are prepared.
