Why businesses on Chaser outsource

Chaser automates the reminder, but somebody still has to run credit control. Schedules need building for each customer group, replies land in an inbox nobody owns, promises to pay are made on the phone and never logged, and disputed invoices sit in the sequence getting chased when they should be paused. The software sends emails; the cash still arrives late.

A named credit controller changes that. Working inside your Chaser account, our controller sets and tunes the schedules, answers replies under your brand, makes the follow-up calls, records every promise to pay against the invoice, and pauses chasing where a query is open. Receipts are reconciled to your ledger each week so Chaser never chases an invoice that has been paid. Your customers hear from you, not from a third party.

What we do inside Chaser

Reminder schedules

We build Chaser schedules by customer group and payment terms, from a polite pre-due reminder through to escalation, and adjust timing from the results in Chaser's insights.

Personalised chasers under your brand

Email and SMS templates carry your tone, your sender name and your contact details, with escalation to a director's name at the stage you choose.

Promise-to-pay tracking

Every promise made by email or phone is logged against the invoice in Chaser and in our DunningDesk log, and the schedule resumes if the date passes unpaid.

Phone follow-ups

Our controllers call customers under your company name on invoices past due, log the call outcome in Chaser, and never take card details; customers pay through your own portal or Chaser Pay.

Chaser Pay and payment links

Pay-now links are checked on every chaser, and payments received through Chaser Pay are matched to the invoice in Xero, QuickBooks Online or Sage.

Disputes, pauses and escalation

Queried invoices are paused in Chaser, the query routed to your team, and the sequence restarted once resolved, so customers are never chased for a disputed amount.

Integrations we reconcile

  • XeroInvoice and payment sync checked daily so Chaser stops chasing paid invoices; receipts reconciled to the bank feed.
  • QuickBooks OnlineCustomer balances, payments and credit notes kept in step between Chaser and the ledger.
  • Sage 50Sage 50 invoices synced to Chaser, with receipts posted and allocated in Sage weekly.
  • Sage IntacctMulti-entity receivables chased from one Chaser account and reconciled by entity.
  • MYOBAustralian ledgers connected to Chaser with receipts allocated and BAS workpapers kept current for your BAS agent.

Migration to and from Chaser

Moving to Chaser

Starting on Chaser begins with clean receivables. We tidy the ledger first: allocate unapplied receipts, clear old credit notes and confirm contact details, so the first chasers go to the right people about the right balances. Then we connect the ledger, build schedules by customer group, load templates under your brand and run the first two weeks with daily review.

Moving from Chaser

If you move from Chaser to Invoiced, another platform or the built-in reminders in your ledger, we export the chase history, promise-to-pay records and customer notes for your files, pause schedules on a set date so no customer receives duplicate reminders, and rebuild the cadences in the new tool. Receivables are reconciled to the ledger before the switch.

Common Chaser reconciliation problems we fix

  1. Chasing invoices that are already paid

A stale sync means customers get reminders after paying. We check the ledger sync daily and reconcile receipts before each run.

  2. Replies nobody answers

Customers reply to chasers with queries and remittance advice and hear nothing back. We work the inbox under your brand within one business day.

  3. Promises to pay lost on the phone

A verbal commitment with no record is forgotten. We log every promise against the invoice and follow up on the promised date.

  4. One schedule for every customer

Key accounts and small buyers need different cadences. We segment schedules by customer group, terms and value.

  5. Disputed invoices escalated by mistake

An automated escalation on a disputed invoice damages the relationship. We pause sequences the moment a query is raised and restart them once it is resolved.

Frequently asked questions

Do you work inside my existing Chaser account?

Yes. You add our named credit controller as a user in your Chaser account with the permissions you choose. Templates, schedules, customer data and the ledger connection stay under your subscription and your brand. We do not contact customers from any address other than yours.

How much do Chaser bookkeeping services cost?

Pricing depends on volume and scope, so we send a custom quote within 1 business day. The main drivers are the number of open invoices and customers, whether you want phone follow-ups as well as email and SMS, how many entities or ledgers are connected, and whether cash allocation is included.

Will my customers know a third party is chasing them?

No. Every email, SMS and call goes out under your company name, from your Chaser templates and your phone script. Our controllers introduce themselves as your credit control team. This is first-party credit control, and we follow PECR and Ofcom rules for UK outbound contact, with ACMA, CRTC and TCPA rules applied in Australia, Canada and the US.

Do you take card payments over the phone?

No. Our controllers never store or handle card details. Customers pay through the pay-now link on the chaser, Chaser Pay, or your own payment portal, and we match the receipt to the invoice in your ledger. Our credit control page explains the payment routing.

Can you allocate receipts as well as chase them?

Yes. We reconcile receipts to invoices in Xero, QuickBooks Online or Sage each week, allocate part-payments and credit notes, and clear unapplied cash, so Chaser always works from a true balance. Cash application is often bundled with the credit control engagement.

Do you cover customers in the US, Canada and Australia?

Yes. Chaser schedules run in any currency and time zone, and our team covers UK, US and Australian business hours. Outbound calling follows each country's rules. Spelling, dates and payment terms in templates are localised for each market. Receipts in each currency are reconciled to the matching ledger.
