Why businesses on UltraTax CS outsource
UltraTax CS sits at the center of the CS Professional Suite, sharing data with Accounting CS, Fixed Assets CS and Practice CS. Firms choose it because the suite handles high volumes of business and individual returns with strong review tools. Those same firms hit the same wall every February: too many returns, too few trained preparers, and reviewers doing data entry because nobody else can.
Outsourcing preparation inside the firm's own UltraTax keeps data sharing, templates and e-file processes exactly as the firm built them. A dedicated accountant maintains the client books, imports trial balances, enters source documents and clears diagnostics. The firm's signing preparer reviews a complete return with workpapers attached and keeps every decision and signature. Engagements are month-to-month, so capacity follows the season.
What we do inside UltraTax CS
Tax preparation support: your firm reviews and signs
We prepare workpapers, enter data into the return in UltraTax CS and hand it to your reviewer with a tie-out. Your firm reviews, signs and e-files. We hold no PTIN and never sign or transmit a return.
Data sharing with Accounting CS
We keep client books in Accounting CS or the client's QuickBooks file, reconcile every account, and confirm the trial balance flows into UltraTax through data sharing without unmapped accounts.
Diagnostics review and e-file readiness
We work through UltraTax's critical, FYI and e-file diagnostics, resolve missing information, and confirm the return is ready for review and Form 8879 signature before it is marked complete.
Source Data Entry and organizers
We enter W-2s, 1099s and K-1s through Source Data Entry, send and follow up on client organizers, and file received documents to FileCabinet CS or your document system.
Section 7216 consent
Before any US tax-return information is shared with our team, the firm obtains IRS section 7216 written consent from the client, which can be signed through NetClient CS. We log the consent date on the client record.
Fixed assets and depreciation
We maintain asset additions, disposals and methods in Fixed Assets CS so depreciation flows into the return, and we reconcile the fixed-asset register to the general ledger at year end.
Integrations we reconcile
- Accounting CSClient write-up and payroll kept in Accounting CS are reconciled monthly and shared into UltraTax at year end.
- QuickBooks OnlineReconciled QuickBooks Online books are mapped to tax lines and the book-to-tax reconciliation is documented in the workpapers.
- SurePrep and TaxCaddyWhere the firm uses SurePrep binders or TaxCaddy for document collection, we verify auto-populated figures against source documents before review.
- NetClient CSOrganizers, document requests and consent forms sent through NetClient CS are tracked and followed up until complete.
- TaxDomeReturn packages printed from UltraTax into TaxDome are linked to the pipeline job and the consent on file.
Migration to and from UltraTax CS
Moving to UltraTax CS
Converting a firm to UltraTax CS means moving prior-year data from the previous software and setting up data sharing with the rest of the suite. We prepare the client list, run Thomson Reuters' conversion, and check carryforward items such as depreciation, NOLs and basis against prior-year returns. Exceptions are listed for the firm, and the signing preparer approves converted files before current-year work begins.
Moving from UltraTax CS
If the firm is leaving UltraTax CS for Lacerte, ProConnect Tax or Drake, we export client and prior-year data, run the new vendor's conversion, and compare carryforward schedules line by line to the last UltraTax return. Documents in FileCabinet CS are exported and refiled in the new system. A signed control list of converted clients closes the project before UltraTax is retired.
Common UltraTax CS reconciliation problems we fix
Reviewers doing preparer work
When preparers run out, managers enter data at manager rates. We take the data entry and workpapers so managers stay on review.
Unmapped accounts breaking data sharing
A trial balance with unmapped or new accounts stalls the flow into UltraTax. We map every account before year end and keep the chart consistent through the year.
Diagnostics left for e-file day
Critical diagnostics found at transmission cause rejections and rework. We clear them during preparation and document what was changed.
Organizers unanswered
Clients rarely complete organizers without prompting. We chase through NetClient CS or email every business day and log what is outstanding.
Consent forms not on file
Sharing return information without section 7216 consent exposes the firm to penalties. We confirm consent before we open any client return data.

Frequently asked questions
How much do UltraTax bookkeeping services cost?
Pricing depends on volume and scope, so we send a custom quote within 1 business day. The quote reflects return counts by entity type, the number of clients on monthly write-up, and whether you need seasonal or year-round capacity. As a market reference, offshore staffing for CPA firms typically runs $10 to $25 per hour against $40 to $75 US-based (Madras, Acculink, 2026).
Do you work inside my existing UltraTax CS account?
Yes. Your firm gives our named accountant a staff login on its own UltraTax CS, whether on the firm's network or through Thomson Reuters' hosted environment, with the security profile you choose. Returns, prior years and e-file history stay in your system.
Will you sign or e-file returns from UltraTax?
No. We provide tax preparation support only: workpapers, data entry into the return, diagnostics review and e-file readiness. Your firm reviews, signs and e-files every return. We hold no PTIN. Our tax preparation support page sets out the full division of duties.
How do you handle IRS section 7216 consent?
Before any US tax-return information is shared with our team, the firm obtains written section 7216 consent from the client. We record the consent date against the client in Practice CS or your CRM and will not open return data until consent is on file.
Can you keep client books in Accounting CS?
Yes. We post, reconcile and close monthly in Accounting CS or in the client's QuickBooks file, whichever the firm uses, and produce a year-end trial balance ready for data sharing. Our back-office page for firms describes the bookkeeping service in more detail.
What does your team hand back to the reviewer?
A return in UltraTax with diagnostics cleared, a workpaper set that shows the source of every figure, the trial balance tie-out and a short list of open questions. Our team lead checks the package under our Two-Tier Review process before your reviewer sees it.
