What is white-label bookkeeping?

White-label bookkeeping is bookkeeping work performed by an outside team but delivered under the accounting firm's own name. The firm owns the client relationship, sets the standards and reviews the output. The provider categorizes transactions, reconciles accounts and prepares month-end packages in the client's ledger. Reports, emails and portal messages carry the firm's branding, so clients see one firm.

Who it is for

CPA and EA firms adding a bookkeeping line

You want recurring monthly revenue without hiring bookkeepers. We run the posting and reconciliation while your staff review and advise.

Bookkeeping firms at capacity

You have 30 to 200 clients and your team is stuck in data entry. Moving the routine work frees your senior people for reviews, onboarding and pricing.

UK and Australian practices on Xero

You need VAT-ready or BAS-ready ledgers every period. We keep the books reconciled and coded, and your practice or registered agent handles the returns.

What's included

  • Weekly categorization of bank and card feeds for each client
  • Receipt and bill capture through Dext, Hubdoc or your client portal
  • Customer invoices and vendor bills posted to the client ledger
  • Monthly bank, credit-card and loan reconciliations per client
  • Payroll journals from Gusto, ADP or the client's payroll provider
  • Sales-tax, VAT or GST liability tracking by period
  • Accruals, prepayments and fixed-asset entries where the client needs them
  • Month-end package in your firm's template, ready for review
  • Client document chasing in your name through Karbon, TaxDome or Canopy
  • Open-items list per client with an owner and a date
  • Year-end tax-ready package handed to your tax team

How it works

  1. Discovery call

We review your client list, software mix, close calendar and the templates your clients already receive. You tell us which clients move first and what your reviewer wants to see.

  2. Access and standards

You add us as an accountant user in each client file and share your chart-of-accounts conventions and report templates. We build a per-client checklist and confirm branding on every output.

  3. First clients in parallel

A named bookkeeper, backup and team lead take a first batch of clients. The first close runs in parallel with your existing process so you can compare output line by line.

  4. Portfolio hand-over

Clients move over in batches on your schedule. Each month closes through CloseTrack and Two-Tier Review, and your partners see one portfolio status report.

How much does white-label bookkeeping cost?

White-label bookkeeping is priced per client per month by transaction band, or as dedicated seats for larger portfolios. There is no setup fee and engagements run month-to-month, so you can add or remove clients as your book changes. Pricing depends on volume and scope, and we send a custom quote within 1 business day.

What moves the quote

  • Number of clients and each client's monthly transaction band
  • Close deadline per client and how many close in the same week
  • Add-ons such as accounts payable, invoicing or payroll journals
  • Whether we chase client documents in your name or your staff do

Frequently asked questions

How much do white-label bookkeeping services cost?

Pricing depends on volume and scope, and we send a custom quote within 1 business day. As a market reference, offshore accounting support for CPA firms typically runs $10 to $25 per hour versus $40 to $75 for US-based staff (Madras Accountancy, Acculink, 2026). Most firms are quoted per client per month by transaction band, which makes resale pricing simple.

Will my clients know the work is outsourced?

Only if you tell them. Reports, emails, portal tasks and document requests all carry your firm's name and template. Our bookkeepers never contact your clients as LedgerBPO. Many firms disclose an offshore team in their engagement letter as good practice, and we can supply wording for that.

Do I need IRS section 7216 consent for bookkeeping work?

No. Section 7216 applies to tax-return information, not to bookkeeping in a client's ledger. If the same client's books later feed a return we prepare workpapers for, the consent is collected at that point through our tax preparation support process.

How do you keep client confidentiality across a large portfolio?

Each client file is accessed through its own accountant login with MFA, and every access is logged. Staff sign an NDA covering your firm and every client, work on managed devices and never download to local storage. Your firm can remove our user from any client file at any time.

How much review does my team still need to do?

Your reviewer sees a package that has already passed our maker-checker Two-Tier Review, with a note on what changed and any judgment calls. Most firms move to exception review after two or three closes per client. The review-note rate is reported monthly so you can see the trend by client.

Can you work in my time zone and with my close calendar?

Yes. Our team covers US Eastern and Pacific hours, UK hours and Australian Eastern hours. Close dates are set per client in your calendar, and the portfolio status report shows which clients are on track each week. Questions raised during a close are answered the same business day.

What if my clients use different software?

We work inside QuickBooks Online, Xero, Zoho Books, Sage and Wave, plus Dext or Hubdoc for documents and Gusto or ADP for payroll. Each client keeps its own subscription. If you want to standardize clients onto one platform, our team can migrate them as a separate project.

Do you also handle the client's tax return?

The year-end package goes to your tax team, and if you want draft returns prepared we do that as preparation support: your firm reviews and signs. That work needs IRS section 7216 consent for US clients and is described on our tax preparation support page.
