How it runs for limo, taxi and rideshare fleets
Anything unmatched goes on an exception log with an owner and a date.
What is a bank reconciliation service?
A bank reconciliation service compares the transactions in your accounting software with the transactions on your bank and credit-card statements and explains every difference. The goal is a ledger balance that agrees with the statement after timing items such as outstanding checks and deposits in transit. Done monthly, it catches missing entries, duplicates, bank errors and fraud early.
What we handle for limo, taxi and rideshare fleets
- Uber and Lyft weekly payouts matched to fleet statements and deposits
- Card terminal and Stripe or Square settlements reconciled net of processor fees
- Corporate ACH, checks and driver lease payments matched to invoices and settlements
- Cash fare deposits reconciled to trip sheets and meter reports
- Exception log with an owner and a resolution date for every unmatched item
The KPI that matters here
No unreconciled bank, card or platform item older than 30 days at any month-end.
Limo & taxi compliance notes
Local licensing and permits
Taxi and for-hire licensing is local: medallions or permits from a city taxi commission, state public utility or transportation authority permits for limousines, airport pickup permits and, for vehicles carrying nine or more passengers across state lines, federal USDOT registration. We track each fee and renewal date, code it by vehicle and keep certificates on file. Applications and renewals are submitted by you or your permit service.
Driver classification: 1099 or employee
Whether a driver is an employee or an independent contractor depends on federal and state tests that differ, and app drivers in California fall under Proposition 22. We post pay exactly as your arrangement and your counsel define it, keep contractor and employee costs in separate accounts, and prepare the 1099 and W-2 figures at year end. We do not decide classification.
App payouts and platform reporting
Uber, Lyft and similar platforms deposit net payouts weekly and issue year-end tax forms based on gross fares, which will not match the deposits. We keep gross fares, platform fees, tolls and incentives in separate accounts so the ledger can be reconciled to the platform's annual statement and to the bank without adjustment.
Surcharges, sales tax and gratuities
Congestion surcharges, airport fees, ground-transportation taxes and, in some states, sales tax on limousine services are collected from passengers and remitted on their own schedules. Mandatory service charges are wages, not tips, under IRS rules. We track each collected amount as a liability and post gratuities under the rule your CPA confirms; you or your preparer files the returns.

Frequently asked questions
Why do the Uber and Lyft deposits never match our trip records?
Because the platform deposits a net figure after its service fee, tolls, airport fees, adjustments and incentives, on a weekly cycle that does not line up with your month. We match each deposit to the platform's fleet statement, post gross fares, fees and pass-throughs separately, and reconcile the net to the bank. The ledger then agrees with the platform's annual statement too.
How do you reconcile cash fares from taxi drivers?
Cash deposits are matched to trip sheets or meter reports by driver and shift, so the amount deposited agrees with the cash fares recorded less any agreed driver share. Shortfalls and overages are recorded against the driver's settlement account rather than lost in revenue. Persistent differences go on the exception log for you to review.
Can you reconcile vehicle loans and our line of credit too?
Yes. Every vehicle loan, lease and line of credit is reconciled to the lender statement monthly with interest and principal split correctly. Draws and paydowns are matched to bank activity, so the balance sheet shows the true position when you refinance a vehicle or a lender asks for figures.
