Accounts receivable management for limo, taxi & rideshare fleets

Accounts receivable for limo, taxi & rideshare fleets is mostly corporate accounts, hotels, travel agencies and affiliate networks on net-30 terms, plus the occasional charter balance and a card payment that failed after the trip. LedgerBPO keeps the aging tied to the dispatch system and the ledger, follows up under your brand on our DunningDesk cadence through the BillingLine desk, resolves line disputes from trip records and logs every promise to pay.

How it runs for limo, taxi and rideshare fleets

App and card revenue is not AR, so it is excluded from the aging and reconciled separately, which keeps the numbers you chase honest.

What is accounts receivable outsourcing?

Accounts receivable outsourcing means a remote team manages the money your customers owe you: tracking invoices from issue to payment, sending statements and reminders, logging disputes, and reporting aging and days sales outstanding. The provider works inside your accounting software under your brand. You keep the customer relationship and decide on credits, holds and escalations.

Limo & taxi compliance notes

Local licensing and permits

Taxi and for-hire licensing is local: medallions or permits from a city taxi commission, state public utility or transportation authority permits for limousines, airport pickup permits and, for vehicles carrying nine or more passengers across state lines, federal USDOT registration. We track each fee and renewal date, code it by vehicle and keep certificates on file. Applications and renewals are submitted by you or your permit service.

Driver classification: 1099 or employee

Whether a driver is an employee or an independent contractor depends on federal and state tests that differ, and app drivers in California fall under Proposition 22. We post pay exactly as your arrangement and your counsel define it, keep contractor and employee costs in separate accounts, and prepare the 1099 and W-2 figures at year end. We do not decide classification.

App payouts and platform reporting

Uber, Lyft and similar platforms deposit net payouts weekly and issue year-end tax forms based on gross fares, which will not match the deposits. We keep gross fares, platform fees, tolls and incentives in separate accounts so the ledger can be reconciled to the platform's annual statement and to the bank without adjustment.

Surcharges, sales tax and gratuities

Congestion surcharges, airport fees, ground-transportation taxes and, in some states, sales tax on limousine services are collected from passengers and remitted on their own schedules. Mandatory service charges are wages, not tips, under IRS rules. We track each collected amount as a liability and post gratuities under the rule your CPA confirms; you or your preparer files the returns.

Frequently asked questions

How do you follow up corporate accounts without damaging the relationship?

Calmly, on a schedule and with the facts. A statement goes out with the invoice, a reminder follows at an agreed interval, and a courteous call comes after that, all under your name. Agents can answer line questions from the trip record, which resolves most delays. Nothing is threatened and nothing is passed to a collection agency by us.

What happens when a corporate client disputes a wait-time or stop charge?

We pull the trip record, driver notes and any GPS or dispatch time stamps, confirm the charge against the client's rate agreement and either support it with evidence or prepare a credit for your approval. The rest of the invoice is not held hostage. Repeated disputes from one account are reported so the rate agreement can be clarified.

Do you chase failed card payments and no-shows?

Failed card payments are followed up the same week with a request to pay through your portal, and no-show or late-cancellation charges are invoiced under your published policy. Agents never take card numbers over the phone; the passenger uses your payment link. Balances that remain unpaid appear on the weekly summary for your decision.
