Books that are never more than two days behind

LedgerBPO's weekly bookkeeping services keep high-volume books no more than two business days behind. A named, dedicated bookkeeper posts bank, card and payment-processor activity every working day inside your QuickBooks Online, Xero, Zoho Books or Sage file, clears exceptions each week and reconciles every account at month-end, with a second accountant reviewing before you see anything.

What is weekly bookkeeping?

Weekly bookkeeping is a posting schedule where transactions are categorized, matched and reviewed every week instead of in one batch after month-end. It suits businesses with hundreds of card, bank or processor transactions a month. The ledger stays close to real time, so cash, margin and sales-tax figures are usable on any day, not only after the close.

Who it is for

High-volume sellers

Ecommerce stores, restaurants and retailers post hundreds of card and processor transactions a week. A monthly batch leaves the ledger too stale to run the business on.

Field and route operators

Trucking, delivery and field-service companies buy fuel, parts and supplies daily across many cards. Weekly posting keeps job and vehicle costs visible while the work is still fresh.

Owners who watch cash daily

If you check the bank balance every morning, the books need to agree with it. Weekly bookkeeping gives you a P&L that is days old, not weeks.

What's included

  • Daily categorization of bank, card and loan feed transactions
  • Stripe, Shopify, Square, PayPal and Amazon payouts posted each week
  • Receipt capture and matching through Dext, Hubdoc or email forwarding
  • Sales invoices and vendor bills posted within one business day of receipt
  • Weekly uncategorized-transaction sweep with questions sent to you every Friday
  • Weekly cash position note: bank balances, open receivables, bills due
  • Payroll journals posted the same week payroll runs
  • Sales tax, VAT or GST collected tracked by week and channel
  • Class, location or tracking-category coding on every line
  • Month-end bank, card, loan and processor reconciliations
  • Monthly P&L and balance sheet after Two-Tier Review
  • Year-end package handed to your CPA or accountant

How it works

  1. Discovery call

A 20-minute call to count your feeds, sales channels and monthly transaction volume, and to agree what current has to mean for your business: two days, one day, or same day.

  2. Access and rules setup

You grant accountant access and read-only bank feeds. We build bank rules, payout mappings and a coding sheet so routine transactions post the same way from the first week.

  3. Dedicated bookkeeper starts

A named bookkeeper, a backup and a team lead take over the daily posting. The first two weeks run against a checklist, with the team lead spot-checking each day's work.

  4. Weekly rhythm and monthly close

Each week ends with an exception list and a cash note. Each month ends with full reconciliations under CloseTrack and a reviewed set of statements.

Software we work in

How much does weekly bookkeeping cost?

Weekly bookkeeping is priced as a flat monthly fee tied to your transaction volume band, the number of feeds and processors we post from, and how current the books must be. It costs more than monthly bookkeeping because the same bookkeeper is in your file every day. Pricing depends on volume and scope, so we send a custom quote within 1 business day.

What moves the quote

  • Monthly transaction volume (400 to 1,000, 1,000 to 3,000, or more)
  • Number of bank, card and payment-processor feeds
  • Required lag: two business days, one day, or same day
  • Add-ons such as invoicing, bill posting or inventory adjustments

Case study

14 months of payouts reconciled

Case study

Reconciling 14 months of Shopify and Amazon payouts

An online retailer in the northeastern US sold through its own Shopify store and on Amazon. Deposits landed in the bank as lump sums net of fees, refunds, chargebacks and reserves, and the owner had been booking each deposit as sales. Fourteen months in, the books showed revenue that matched neither platform report, and the retailer's tax preparer would not work from them. The owner engaged LedgerBPO for payment-processor reconciliation, e-commerce accounting and catch-up bookkeeping. A named accountant, a backup and a team lead reconciled every payout for the 14 months back to the settlement reports and the bank, then put a monthly routine in place so the gap did not reopen. This ecommerce bookkeeping case study covers the first three months of payout reconciliation.

Frequently asked questions

How much do weekly bookkeeping services cost?

Pricing depends on volume and scope, and we send a custom quote within 1 business day. Weekly service costs more than a monthly plan because your bookkeeper is in the file every day. As a market reference, US outsourced bookkeeping runs $150 to $1,600 per month, and high-volume businesses sit near the top of that range (indinero, 2026). An in-house bookkeeper costs $40,000 to $60,000 in salary before benefits (RadCity, 2026).

How is weekly bookkeeping different from monthly bookkeeping?

The work is the same; the timing is not. Our monthly bookkeeping service posts in batches and closes within five business days of month-end. Weekly bookkeeping posts every working day, sweeps exceptions each Friday and sends a cash note, so the ledger is never more than two business days behind. Choose weekly when you make decisions from the books during the month.

Do I need weekly bookkeeping or daily bookkeeping?

Most businesses under 3,000 transactions a month are well served by daily posting with a weekly review, which is what this service provides. Same-day books are worth paying for when cash is tight and moves fast, such as a restaurant group or a delivery fleet. We can set the lag to same day for an added fee.

Can you post Shopify, Amazon and Stripe payouts every week?

Yes. Payout posting is the main reason clients move to weekly service. We map each channel's gross sales, fees, refunds and reserves to the deposit, using A2X or Link My Books where you have them, and reconcile the clearing account weekly. Our payment processor reconciliation service covers the same workflow for businesses that stay on monthly bookkeeping.

What do I have to do each week?

Answer the exception list. It is usually five to fifteen items: a receipt we cannot find, a transfer we cannot place, or a new vendor we need to code. You reply in the LedgerDesk portal or by email, and your bookkeeper posts the answers the same day.

Will the same person do the work every week?

Yes. You get a named bookkeeper who learns your vendors, channels and coding rules, a trained backup who covers leave, and a team lead who reviews the month-end close. Consistency matters more with daily posting than with any other service, because judgment calls have to be applied the same way every day.

Can you work in my time zone?

Yes. Posting happens during your business day. We cover US Eastern and Pacific hours, UK hours and Australian Eastern hours, so the Friday exception list arrives before your weekend rather than after it. Your bookkeeper's working hours are agreed at onboarding and shown in the LedgerDesk portal.

What happens if my volume drops in the off-season?

The fee follows your volume band. Seasonal businesses often run weekly bookkeeping for the busy months and drop to our monthly bookkeeping service in the quiet ones. Engagements are month-to-month, so the change is a note to your team lead, not a new contract.
