Cash application & remittance posting for gyms, fitness & wellness studios

Cash application for gyms, fitness & wellness studios means applying each processor payout to the membership, pack, training and retail charges it settles, each aggregator remittance to the visits it covers, and each corporate or program payment to the invoice it pays. Our ReconBot workflow works from the Stripe, Mindbody Payments or Square payout report and the booking platform's sales report rather than the bank feed, applies charges by member and product, posts fees, refunds and disputes separately, ties ACH returns and recovered declines to the members involved, and clears unapplied cash within two business days.

How it runs for gyms, fitness and wellness studios

Deferred revenue is updated as prepaid products are applied.

What is cash application?

Cash application means matching money received from customers to the invoices it pays and recording that in the accounting system. It covers bank receipts, checks, lockbox files, card payouts and remittance advices, including partial payments, deductions and payments with no reference. Done well, the aging is accurate and no customer is chased for an invoice they already paid.

What we handle for gyms, fitness and wellness studios

  • Apply each processor payout to the member charges it settles through the clearing account
  • Apply ClassPass and aggregator remittances to the reservations on the statement
  • Apply corporate wellness and program payments to the correct invoice and period
  • Tie recovered declines and ACH returns to the members and charges involved
  • Resolve unapplied or unidentified receipts inside two business days

The KPI that matters here

All payouts, remittances and customer payments applied within two business days of deposit, with unapplied cash below one percent of monthly receipts.

Fitness compliance notes

Auto-renewal and health club statutes

State automatic-renewal laws require clear disclosure of recurring terms, affirmative consent and an easy cancellation path, and many states also have health club statutes that limit contract length, set cancellation rights and may require a bond for prepaid memberships. We keep the signed agreement and consent with each member's billing record and report prepaid balances so your counsel can confirm bonding needs; the legal review is theirs.

Deferred revenue for prepaid plans and packs

Annual memberships, class packs and training packages are liabilities until the service is delivered. We hold them in deferred revenue, release them from attendance and session logs, track expired and unused balances under your published policy, and report the liability monthly so lenders, buyers and your tax preparer see the obligation behind the cash.

Card-on-file and stored-credential rules

Card networks require a member's consent before a card is stored, disclosure of the recurring amount and schedule, and notice before a trial converts to a paid plan. Our agents never take or store card numbers; members enter cards through your booking platform or Stripe, and we reconcile the consent date to the first charge when a dispute is raised.

Sales tax on memberships and retail

Some states tax gym memberships and class fees, most tax retail and supplements, and a few treat personal training differently from group classes. We map each product in your booking platform to its tax treatment, reconcile tax collected to the ledger by state each month, and prepare the workings for your filing.

Frequently asked questions

Why apply payouts to charges rather than booking the deposit?

Because a payout combines many members and products and subtracts fees, refunds and disputes, so booking it directly leaves no record of which charges are still unsettled or which prepaid products were bought. Applying each payout to specific charges keeps deferred revenue accurate by product and leaves an exact list of unsettled charges, which is how a missing payout or a hold is caught quickly.

How do you apply an aggregator remittance?

The monthly statement lists each reservation, the class and the per-visit rate paid. We match those reservations to the check-ins in your booking platform, post the revenue at the per-visit rate to the aggregator line, post any fees separately, and match the net to the bank. Reservations on the statement that never checked in are listed so the studio can query them.

How are recovered failed payments applied?

When a retried or member-updated charge succeeds, the payment is applied to the original membership period it covers, not to the month it was recovered, so the member's account and the revenue for that period are both correct. The recovery is logged against the decline in the DunningDesk record, and the studio's weekly recovery report reflects it.
