How it runs for DME and HME suppliers
The controller also prepares lender packages, answers your CPA's year-end questions and documents the accounting policies your team follows. Decisions stay with you; the controller makes sure they are made on numbers that hold up.
What are outsourced controller services?
Outsourced controller services provide the review layer that sits between bookkeeping and the owner: a senior accountant who checks the close, owns the accounting policies, tests the controls around cash and spending, and explains the financial statements. The controller does not do daily posting. They make sure what was posted is right and documented before anyone relies on it.

DME & HME compliance notes
Medicare DMEPOS supplier rules
Medicare DMEPOS suppliers must meet the supplier standards, hold accreditation and keep a surety bond to bill Medicare. Payment then follows fee schedules, competitive-bid amounts and capped-rental rules that decide when revenue is earned. Your books need to reflect those payment rules, not a generic sales model.
Prior authorization
CMS keeps a Required Prior Authorization List for certain DMEPOS items, and claims for those items without an affirmed decision are denied. We flag delivered-but-unauthorized orders as unbilled at each close so cash forecasts stay honest. Authorization work itself stays with your intake or billing team.
HIPAA
Patient names and diagnoses appear on remittances, statements and Brightree exports. Our staff are HIPAA-trained, we sign a BAA, access is logged and files are never downloaded to local devices.
State sales tax on equipment
Many states exempt prescribed durable medical equipment from sales tax while taxing retail accessories and over-the-counter items. We track taxable and exempt sales separately in the ledger so returns can be prepared from the books. Your tax preparer or advisor confirms the rules for each state.

Frequently asked questions
What does a controller review add on top of bookkeeping?
Judgment and forecasting. Bookkeeping records what happened; the controller review checks whether the estimates in the close are reasonable, explains why margin or AR moved, keeps a rolling cash forecast and prepares the packages lenders and CPAs want. For a DME supplier that means rental schedules, inventory and pending-authorization exposure are examined every month, not once a year.
Can the controller help with a bank line or an equipment loan application?
Yes. The controller prepares the financial statements, AR and inventory schedules, debt schedules and trailing-twelve-month figures lenders request, and answers follow-up questions in plain language. We do not give financing advice or guarantee an outcome; we make sure the numbers presented are reconciled and consistent with your tax returns.
Is an outsourced controller enough for a multi-branch DME company?
For most owner-led suppliers with several branches, yes, provided the bookkeeping and close are done on a fixed calendar. The controller review covers consolidated and branch-level results, intercompany or interbranch allocations and the cash forecast. Companies preparing for audited statements or a sale may also need a CPA firm, and we work alongside them.
