What is cash application?

Cash application is the process of matching an incoming customer payment to the specific invoice or invoices it is meant to pay, then recording it in the accounting system so accounts receivable stays accurate.

How cash application works

When a payment arrives, whether by check, ACH, or card, it needs to be matched to the right customer and the right invoice or invoices before accounts receivable is considered up to date. Payments that arrive without clear details, like a check with no invoice number, can sit unapplied until someone tracks down what it was for. Partial payments, short payments, and payments covering multiple invoices are some of the trickiest cases to apply correctly.

Accurate cash application keeps the aging report reliable, since an unapplied or misapplied payment can make a paid invoice look overdue or a past-due invoice look paid. Businesses with high payment volume often use remittance advice, lockbox services, or payment portal data to speed up and automate the matching process. High-volume businesses sometimes use automated matching rules based on invoice number or customer reference to speed up the process without losing accuracy.

Example

A customer sends a $2,750 payment covering two invoices, $1,500 and $1,250. Using the remittance advice attached to the payment, the accountant applies $1,500 to the first invoice and $1,250 to the second. Both invoices now show as paid in full, and accounts receivable drops by the full $2,750.

Cash application in QuickBooks Online vs Xero

In QuickBooks Online, cash application happens through Receive payment, where a payment is selected and applied against one or more open invoices. Xero uses Find & Match inside its Reconcile screen to pair a bank feed line with the correct invoice. Both flag payments that do not match cleanly as unapplied. Neither platform automatically resolves a payment that does not clearly reference an invoice, so a person still has to step in.
