How 1099-misc works
Before issuing a 1099-MISC, a business collects a completed Form W-9 from the payee to confirm their legal name, business type and taxpayer identification number. Payments are tracked throughout the year by category and payee, because different box numbers on the form apply to rent, royalties, legal settlements and other specific payment types.
Forms are prepared after year end and must be furnished to the recipient and filed with the IRS by the deadline that applies to the payment type, generally by the end of January or February depending on the box used and whether filing electronically. Missing the deadline or filing with an incorrect taxpayer ID can trigger IRS penalties.
Example
A business rents office space from an individual landlord and pays $18,000 in rent for the year. Because rent to a non-corporate landlord is reportable, the business collects a W-9 from the landlord, then issues a 1099-MISC showing $18,000 in the rents box after year end, filing a copy with the IRS and sending one to the landlord.
1099-MISC in QuickBooks Online vs Xero
QuickBooks Online tracks 1099-eligible vendors and payments throughout the year if vendors are marked as 1099 vendors and mapped to the correct box, generating forms through its 1099 e-file service at year end. Xero does not prepare 1099s natively, so many Xero users export vendor payment totals and file through a separate service like Track1099.
Common mistakes
- Reporting contractor payments for services on a 1099-MISC instead of the correct 1099-NEC, which are two different forms with different boxes and can cause IRS mismatches or amended filings.
- Waiting until January to collect a W-9 from a vendor paid throughout the year, which risks a missing or incorrect taxpayer ID that delays filing or triggers a penalty.
- Not tracking payments by category as they happen, which turns year-end 1099 preparation into a rushed reconstruction of a full year of vendor activity.

Getting 1099-MISC categorization and deadlines right protects a small business from IRS penalties for late or incorrect filings, which can add up quickly across a large vendor list.
