## Why businesses on Stripe outsource

Stripe deposits net payouts into the bank, and most books record those deposits as revenue. That understates sales, hides processing fees, and buries refunds and disputes inside a smaller number. Add Stripe Billing subscriptions, multiple currencies and a payout schedule that lags the charge by days, and the bank feed no longer tells you what you sold.

A dedicated accountant works from the Stripe payout report, not the bank line. We post each payout gross to a Stripe clearing account, split out fees, refunds, disputes and reserves, match the net to the bank, and reconcile the clearing account to the Stripe balance each month. Subscriptions created in Stripe Billing are tied to invoices and deferred revenue so the P&L shows what was earned.

## What we do inside Stripe

### Payout posting via a clearing account

We post each Stripe payout gross, using the payout reconciliation report, to a Stripe clearing account, then match the net deposit to the bank so sales and fees are both visible.

### Fee, refund and dispute splits

Processing fees, refunds, chargebacks and dispute fees are posted to their own accounts on the date they occur, not hidden in the deposit.

### Stripe Billing and subscriptions

Invoices, subscriptions, credit notes and failed payments from Stripe Billing are tied to the revenue schedule so recognized and deferred revenue agree with the customer list.

### Balance and reserve reconciliation

We reconcile the Stripe clearing account to the Stripe balance, including pending funds and any reserve Stripe holds, at every month-end.

### Multi-currency payouts

Charges in one currency and payouts in another create conversion differences. We post the realized gain or loss so the clearing account still balances.

### Sales tax and VAT data

Stripe Tax and invoice tax lines are summarized by jurisdiction each period so the sales tax, VAT or GST workings match what customers were charged.

## Integrations we reconcile

- **[QuickBooks Online](https://ledgerbpo.com/software/quickbooks-online/)** Payout journals, the Stripe clearing account, fees, refunds and disputes.
- **[Xero](https://ledgerbpo.com/software/xero/)** Payout summaries posted and matched to the bank feed, clearing account reconciled monthly.
- **[Shopify](https://ledgerbpo.com/software/shopify/)** Stripe used as a gateway alongside Shopify Payments, kept separate so orders are not double-counted.
- **[A2X](https://ledgerbpo.com/software/a2x/)** Where A2X summarizes Stripe payouts, we review and reconcile the summaries it posts.
- **[Brex](https://ledgerbpo.com/software/brex/)** Payouts landing in a Brex business account reconciled to the Stripe payout report.
- **[Avalara](https://ledgerbpo.com/software/avalara/)** Tax calculated on Stripe invoices tied to the sales tax return workings.

## Migration to and from Stripe

### Moving to Stripe

Moving payments onto Stripe means deciding the posting method before the first payout. We create the Stripe clearing account, fee and refund accounts, set up Stripe Billing products and tax settings if used, and choose between a direct connector, A2X or manual payout journals. The first month is reconciled line by line so the pattern is right before volume grows.

### Moving from Stripe

Leaving Stripe for another processor starts with the final payout. We wait for pending balances, reserves and open disputes to settle, post the last payouts, reconcile the clearing account to zero, and export the customer, invoice and subscription data. Subscriptions moving to the new processor are matched so no customer is billed twice or missed.

## Common Stripe reconciliation problems we fix

1. ### Payouts recorded as revenue
The bank shows the net deposit, so sales are understated by the fees and refunds Stripe already deducted. We post gross sales and the fee lines separately so the P&L is right.
2. ### Payout timing across month-end
A charge on the 30th pays out on the 2nd, so revenue and cash land in different months. We post revenue when earned and carry the pending amount in the clearing account.
3. ### Disputes and chargebacks left unposted
A lost dispute removes the sale and adds a fee, and a won dispute reverses both. We post each stage from the dispute report so the ledger matches the Stripe balance.
4. ### Reserves and holds not recorded
Stripe can hold a percentage of payouts as a reserve, which makes the clearing account look wrong. We track the reserve as a separate balance and release it when Stripe does.
5. ### Subscriptions billed but revenue not deferred
An annual plan collected in January is not January revenue. We tie Stripe Billing invoices to a deferred revenue schedule so each month shows what was earned.

## Frequently asked questions

### Do you work inside my existing Stripe account?

Yes. You add us to your own Stripe account with a view-only or analyst role, which lets us download payout, balance and dispute reports without any ability to move funds or change payout settings. You keep ownership of the account, the bank connection and every payout. We read, post and reconcile.

### How much does Stripe bookkeeping support cost?

Pricing depends on volume and scope, so we send a custom quote within 1 business day. The main drivers are payouts and transactions per month, whether you use Stripe Billing, how many currencies and countries you sell in, and whether monthly bookkeeping and sales tax workings are part of the same engagement.

### Should Stripe payouts be posted gross or net?

Gross. Post the full sale to revenue and the fee to a processing fee account, with the net matched to the bank deposit. Net posting understates both sales and costs and makes the fee rate invisible. Our payment processor reconciliation service explains the clearing account method we use.

### Do you use A2X or a direct connector for Stripe?

We work with whichever you already have. A2X and similar tools post payout summaries well; a direct connector can create one entry per transaction, which is noisy at volume. Where neither is in place we post payout journals from the Stripe report. The result is the same: a clearing account that reconciles.

### How do you handle Stripe Billing subscriptions and deferred revenue?

Each Stripe Billing invoice is tied to a revenue schedule so annual and multi-month plans are recognized over their term. Failed payments, upgrades and credit notes adjust the schedule. Our subscription billing service covers the full invoice-to-revenue process for SaaS and membership businesses.

### Can you clean up a year of Stripe deposits posted as revenue?

Yes. We scope it as a cleanup: download every payout report for the period, post gross sales, fees, refunds and disputes by month, reverse the net deposits, and reconcile the clearing account to the Stripe balance. Then the account moves to the monthly service.
