## What is ecommerce bookkeeping outsourcing?

Ecommerce bookkeeping outsourcing means a remote accountant records the sales, marketplace fees, refunds and payouts from every channel you sell on, keeps inventory and cost of goods sold accurate, tracks sales tax by jurisdiction and closes the books each month. The seller keeps its store, marketplace and accounting subscriptions; the provider works inside them with A2X or Link My Books.

## Who it is for

### Shopify and DTC brands

You sell through Shopify with Stripe, PayPal and Shop Pay payouts, run ads, and hold inventory at a 3PL. Revenue in the ledger never quite matches the dashboard and the deposits.

### Amazon and multi-marketplace sellers

Amazon settlements, FBA fees, reimbursements and reserves land in one deposit every two weeks. You want each settlement broken out so you know what you actually earned per channel.

### Growing brands with sales-tax exposure

Sales are spreading across states and marketplaces and you are not sure where you have crossed a nexus threshold or what marketplace facilitator rules cover.

## What's included

- Settlement posting from Shopify, Amazon, eBay and Etsy through A2X or Link My Books
- Payout reconciliation for Stripe, PayPal, Shopify Payments and Amazon settlements to the bank
- Marketplace fees, FBA fees, advertising, reimbursements and reserves classified correctly
- Refunds, chargebacks, returns and gift card liabilities tracked
- Inventory and cost of goods sold with landed cost and 3PL fees
- Sales tax collected versus remitted by state, with marketplace facilitator rules applied
- Nexus monitoring against economic thresholds as sales grow
- Multi-currency sales and payouts translated and reconciled
- Vendor bills, freight and duty coded by product line
- Monthly close with channel-level P&L and gross margin by channel
- Inventory count tie-out and shrink review each month or quarter
- Year-end package handed to your CPA or accountant

## Deliverables and KPIs

| Deliverable | KPI we report | Cadence |
| --- | --- | --- |
| Settlements posted | Every settlement and payout posted within 2 business days of receipt | Weekly |
| Payout reconciliation | Payouts tied to bank deposits; zero unmatched payouts older than 30 days | Monthly |
| Channel P&L | Revenue, fees, ad spend and gross margin by channel issued by the 10th business day | Monthly |
| Sales-tax liability | Collected and owed by state reconciled to the liability account | Monthly |
| Inventory and COGS | Ledger inventory tied to the count or 3PL report with variances explained | Monthly |
| Year-end package | Adjusting entries, inventory schedule and trial balance ready for your tax preparer | Annually |

KPIs are what we measure and report, agreed per engagement. Service-level commitments are set in your agreement.

## How it works

1. ### Discovery call
A 20-minute call to map your channels, payment processors, inventory locations, sales-tax registrations, order volume and what the books are for: tax, lending, investors or a sale of the business.
2. ### Access and settlement setup
You grant accountant access to your accounting file, stores, marketplaces and processors, and read-only bank feeds. We connect or review A2X or Link My Books mappings and agree a cut-over date after reviewing the last reconciled month.
3. ### Dedicated accountant assigned
A named accountant, a trained backup and a team lead take over settlement posting, reconciliation and inventory. The first month runs in parallel with a full reconciliation of opening inventory and unmatched payouts.
4. ### Monthly close and channel P&L
Each month the accountant closes under Two-Tier Review and you receive a channel P&L, a sales-tax liability summary and a short note on margin changes and open questions.

Our ReconBot process

Payout matching runs on our ReconBot workflow: every Stripe, PayPal, Shopify and Amazon payout is matched to its settlement lines and the bank deposit, and anything that does not tie goes into an exception log with an owner. You can see open exceptions in the LedgerDesk client portal at any time.

## How much does ecommerce accounting cost?

Ecommerce bookkeeping is priced as a flat monthly fee based on order volume, the number of channels and processors, inventory locations and sales-tax states. Engagements run month-to-month with no setup fee. Pricing depends on volume and scope, so we send a custom quote within 1 business day.

### What moves the quote

- Monthly order volume and number of sales channels
- Number of payment processors and marketplace settlement feeds
- Inventory locations, SKUs and whether landed cost is tracked
- States and countries where you collect sales tax, VAT or GST

## Case study

14 months of payouts reconciled

Case study
### [Reconciling 14 months of Shopify and Amazon payouts](https://ledgerbpo.com/case-studies/ecommerce-payout-reconciliation/)

An online retailer in the northeastern US sold through its own Shopify store and on Amazon. Deposits landed in the bank as lump sums net of fees, refunds, chargebacks and reserves, and the owner had been booking each deposit as sales. Fourteen months in, the books showed revenue that matched neither platform report, and the retailer's tax preparer would not work from them. The owner engaged LedgerBPO for payment-processor reconciliation, e-commerce accounting and catch-up bookkeeping. A named accountant, a backup and a team lead reconciled every payout for the 14 months back to the settlement reports and the bank, then put a monthly routine in place so the gap did not reopen. This ecommerce bookkeeping case study covers the first three months of payout reconciliation.

- Months of unreconciled payouts 14 0
- Sales channels Shopify and Amazon, unreconciled Shopify and Amazon, reconciled monthly

## Frequently asked questions

### How much do ecommerce bookkeeping services cost?

Pricing depends on volume and scope, and we send a custom quote within 1 business day. The main drivers are order volume, number of channels and processors, inventory complexity and sales-tax states. As a market reference, US outsourced bookkeeping runs $150 to $1,600 per month, and multi-channel sellers with inventory sit toward the upper end (indinero, RadCity, NerdWallet, 2026).

### Do you use A2X or Link My Books?

Yes, whichever you already have or whichever fits your channels. Both tools summarize each Shopify or Amazon settlement into a journal that posts sales, fees, refunds and reserves to the right accounts in QuickBooks Online or Xero. We set up or review the mappings, then reconcile every posted settlement to the bank deposit.

### Why does my Shopify revenue never match my bank deposits?

Because a payout is net of processor fees, refunds, chargebacks, reserves and timing differences, and because Shop Pay, PayPal and other gateways settle separately. We record gross sales and each deduction on its own line, then match the net payout to the deposit. The payment processor reconciliation service explains the method in detail.

### Can you handle Amazon settlements and FBA fees?

Yes. Each Amazon settlement is broken into product sales, shipping, promotions, referral fees, FBA fulfillment and storage fees, advertising, reimbursements and reserve movements, and posted through A2X or Link My Books. Reimbursements and reserves are tracked so you can see what Amazon still owes you at month-end.

### How do you track inventory and cost of goods sold?

Purchases, freight and duty are capitalized into inventory at landed cost, and cost of goods sold is recognized as units sell, using your inventory system, 3PL reports or a periodic count. Each month the ledger inventory balance is tied to the count or the 3PL report and variances are explained. The inventory accounting service covers multi-location and manufacturing setups.

### Do you handle sales tax and nexus?

We track sales tax collected versus owed by state, apply marketplace facilitator rules where the marketplace collects for you, and monitor your sales against economic nexus thresholds so you know when a registration may be needed. Returns are drafted by our sales tax support service for your review, using TaxJar or Avalara. We do not file on your behalf or give tax advice.

### Can you produce a P&L by channel?

Yes. Sales, fees, advertising and cost of goods are tagged by channel using classes or tracking categories, so the monthly P&L shows gross margin for Shopify, Amazon, wholesale and any other channel side by side. That is usually the first time a seller sees which channel actually makes money after fees and ads.

### Do you work with UK, Canadian and Australian sellers?

Yes. Link My Books and A2X both support UK, EU, Canadian and Australian marketplaces, and we prepare VAT workings for UK sellers, GST and HST workings for Canadian sellers and BAS workpapers for Australian sellers' TPB-registered BAS agent or accountant. The client or their accountant submits the return.
