## What happened to Bench, and why does it still matter?

Bench closed on 27 December 2024 without warning. About 11,000 clients lost access to their books, their documents and their year-end reports in the middle of tax season preparation (RadCity and indinero, 2026). Employer.com acquired the company days later, relaunched the service and later placed it under the Mainstreet brand.

The service is running again, and plans are published at $249 to $749 a month by expense level, with annual prepayment required for the lowest rate (bench.co, Sep 2026). Books are kept on a cash basis inside Bench’s own software. That last point is why the shutdown hurt so much: the ledger was not a file the client could open elsewhere.

Bench was not alone. Botkeeper, which sold automated bookkeeping to accounting firms, shut down in February 2026 after raising about $90 million (RadCity and indinero, 2026). Two venture-funded platforms closing inside 14 months changed what owners ask a provider before signing.

## What should you look for in a Bench alternative?

Ask where the books live. If the ledger is QuickBooks Online, Xero or another mainstream product in your own account, you can hand it to any accountant tomorrow. If the ledger is the provider’s own app, leaving means an export and a rebuild.

Ask who does the work. A named accountant with a backup is different from a pooled team behind a chat window. Ask whether the plan is cash or accrual, because cash-basis books do not suit inventory, deferred revenue or a lender who wants a real balance sheet.

Ask about scope and terms. Bookkeeping and a monthly report is the base.

Invoicing, receivables follow-up, payables and payout reconciliation are usually extra or unavailable. Ask for month-to-month terms, ask who owns the company, and ask how you export if you leave. A provider that answers all of that plainly is a safer bet than one with a lower entry price.

A sole proprietor with a few dozen transactions a month and simple taxes has the widest choice. ## What should you do if your bookkeeping provider shuts down?

The first 48 hours decide how bad it gets. Work through the steps in order.

1. **Export everything the same day.** Download the profit and loss, balance sheet, general ledger and transaction list by account for every year you can reach, as spreadsheet files and as PDFs. Download any receipts, statements and tax documents stored in the provider’s app. If the app is already offline, email support and your account manager in writing and keep the sent copies.
2. **Secure your accounts.** Change the passwords on every bank, credit-card, payroll, payment-processor and tax-agency login the provider could reach, and remove any accountant-user access they held. Turn on two-factor authentication where it was off.
3. **Pull your own source records.** Download the last 24 months of statements from every bank, card and payment processor now, while the portals still hold them. Bank portals often keep 12 to 24 months; processors keep less. These records rebuild the books if the exports are incomplete.
4. **List the deadlines.** Write down every sales-tax, VAT, payroll, 1099, annual return and estimated-tax date in the next six months. Tell your tax preparer what happened so they can plan. The IRS expects records to be kept for at least three years from the filing date, and longer in some cases (IRS, 2026).
5. **Choose the ledger before the provider.** Decide whether your books will live in QuickBooks Online, Xero or another product in your own account. Every provider you shortlist should be willing to work in it.
