## What is cash application?

Cash application means matching money received from customers to the invoices it pays and recording that in the accounting system. It covers bank receipts, checks, lockbox files, card payouts and remittance advices, including partial payments, deductions and payments with no reference. Done well, the aging is accurate and no customer is chased for an invoice they already paid.

## Trucking compliance notes

### FMCSA and federal filings

Operating authority, USDOT registration, the Unified Carrier Registration fee, IRP apportioned plates and the annual Form 2290 heavy vehicle use tax (due August 31 for most fleets) each carry a cost and a date. We keep those dates on the close calendar, record the fees against the right units and keep insurance certificates and down payments tracked. Filing stays with you or your compliance service.

### IFTA fuel tax

Each quarter, miles by jurisdiction from the ELD and gallons by jurisdiction from fuel-card statements are compiled into IFTA workpapers, with the net tax due or refund calculated per state. The ledger fuel account is reconciled to the same gallons so the return and the books agree. You or your permit service submits the return.

### Factoring agreements

Recourse and non-recourse factoring agreements set the advance rate, the fee schedule and when chargebacks apply. We record advances as a liability or as AR sold depending on the agreement, show fees as finance cost and reconcile the reserve account monthly so you can see what the factor is holding. We do not negotiate the agreement.

### Driver settlements and worker classification

Owner-operators under lease are paid on settlement statements with deductions the lease must list, and receive a 1099 at year end; company drivers are W-2 employees with per diem treated under IRS transportation-industry rules. We prepare settlements and payroll journals from the agreements you provide and flag classification questions for your counsel. We do not decide who is a contractor.

### How do you apply a broker remittance that covers twenty loads and short-pays three?

From the remittance detail. Each load listed is applied to its invoice at the amount paid, the three short pays are recorded against their loads with the broker's reason code, and the difference stays open for rebilling or credit with your approval. Nothing is applied as a lump sum, so the aging shows exactly which loads are still owed.

### How are factor reserve releases applied?

The factor's reserve report lists which invoices the customer paid and what is being released after fees and any chargebacks. We apply the release to those invoices, clear the due-from-factor balance, post fees as finance cost and record chargebacks against the original invoice so they return to your direct aging. The reserve account is reconciled to the portal monthly.

### What happens when a shipper pays without saying which invoice it is for?

We match by amount, load number, PO or BOL reference and delivery date against open invoices, then apply to the oldest open balance if nothing matches exactly. Payments that still cannot be identified go to an unapplied list that is worked weekly through the BillingLine desk under your brand, asking the shipper for the remittance detail.
