# Monthly financial reporting for restaurants & hospitality

Outsourced financial reporting for restaurants & hospitality should answer the questions an operator asks every week: what is prime cost by location, which daypart or channel is growing, what does delivery really net after commission, and how much cash is actually ours once tips and sales tax are set aside. We build the package from reconciled books and POS exports: sales by category, daypart and channel, food and beverage cost from counts, labor by department with overtime, prime cost, delivery-platform net contribution, comps and discounts by reason, over-and-short, and liabilities.

## How it runs for restaurants and hospitality businesses

Multi-location groups get location P&Ls that roll up, and every package carries a short note on the changes that matter.

## What is outsourced financial reporting?

Outsourced financial reporting means a remote accounting team prepares your periodic financial statements and management reports instead of an in-house controller. The team works from your own accounting file, applies a consistent close and review process, and issues a report pack on a fixed date each month. You keep the data, the software and the decisions.

## What we handle for restaurants and hospitality businesses

- Report prime cost by location weekly and by period with your own trailing average
- Show sales by category, daypart and channel including dine-in, takeout and delivery
- Present delivery-platform net contribution after commission, promotions and refunds
- Track comps, discounts and voids by reason and by manager
- Add a short commentary on what moved and where a decision is needed

## The KPI that matters here

Monthly package delivered with prime cost and channel mix by location, tied to reconciled books, plus a weekly prime-cost flash.

## Restaurants compliance notes

### Tip reporting and tip credits

Employees must report cash and card tips to the employer, the employer withholds payroll taxes on reported tips, and large food and beverage establishments file Form 8027 annually. Where the restaurant takes a tip credit against minimum wage under the FLSA, the wage records must show that tips brought each employee to the full minimum. We reconcile POS tips to payroll and keep the workpapers; your payroll provider and CPA handle filings.

### Sales tax and local meal taxes

Restaurant sales are taxable in most US states, many cities and counties add a meal or hospitality tax, and rules differ for catering, delivery, alcohol and service charges. We reconcile tax collected in the POS to the ledger by jurisdiction each month, prepare the workings for your filing, and flag rate changes or new locations so nothing is missed.

### Daily cash and deposit controls

Cash-heavy service creates the need for a daily cash count, a deposit log and a documented over-and-short account. We reconcile the counted cash per shift to the POS cash tender, match deposits to the log, and report over-and-short by location and manager so problems surface within days rather than at year-end.

### Alcohol, franchise and lease reporting

Liquor license reporting, franchisor royalty and marketing-fund reports based on gross sales, and percentage-rent clauses in leases all depend on POS sales figures that tie to the ledger. We prepare the sales schedules these reports need from reconciled numbers and keep the supporting Z-reports on file.

## Frequently asked questions

### Which reports matter most for a restaurant?

Prime cost by location, food and beverage cost as a percent of sales by category, labor as a percent of sales by department with overtime, sales by daypart and channel, delivery-platform net contribution, comps and discounts by reason, over-and-short, and the liabilities schedule. Between them they account for most swings in profit. Balance sheet and cash views complete the package for lenders and investors.

### Can you report by daypart, channel and location?

Yes. The POS tags sales by revenue center, service period and order source, and we carry those tags into the ledger by location class. Lunch, dinner and brunch, dine-in, takeout and each delivery platform can each be shown with their own sales and, where costs can be attributed, their own margin. Shared costs are allocated by a rule you approve and disclosed on the report.

### How do you report what delivery platforms really cost?

Gross order value from each platform's statement is reported as sales, and commissions, sponsored-listing promotions, customer refunds, order-error charges and packaging are shown as deductions, giving net contribution per platform per period. Compared with dine-in contribution, this shows whether platform pricing, a smaller delivery menu or a first-party ordering channel would improve the result.
