# Outsourced bookkeeping for dental practices

Outsourced bookkeeping for dental practices begins with the day sheet. Dentrix, Open Dental or Eaglesoft records gross production, adjustments and collections by provider every day, and the bank records what actually arrived: insurer EFTs, virtual-card payments net of processing, financing payouts net of the merchant discount, and terminal batches. Your named accountant ties the two together weekly, records PPO adjustments by plan, books payroll by provider and hygiene, codes lab invoices to cost of dentistry and supply orders to their own line, and keeps membership and prepaid cases in deferred revenue.

## How it runs for dental practices

Every account is reconciled and a second accountant reviews before the P&L is issued.

## What is outsourced bookkeeping?

Outsourced bookkeeping means a remote accounting team records, categorizes and reconciles your business transactions instead of an employee doing it in-house. You keep ownership of the accounting file and the bank relationship. The provider works inside your software on a fixed schedule, so the books are ready for reporting, tax and lending whenever you need them.

## What we handle for dental practices

- Tie the daily day sheet to bank deposits, separating fees and timing differences
- Record PPO adjustments by plan and keep courtesy discounts separate
- Code lab invoices, supplies and small equipment to distinct cost lines
- Book payroll by doctor, hygiene and front office from the payroll register
- Hold membership and prepaid treatment in deferred revenue and release monthly

## The KPI that matters here

Books closed by the fifth business day with the month's day-sheet collections tied to bank deposits.

## Dental compliance notes

### HIPAA

Dental claims, EOBs and patient ledgers are protected health information. We sign a BAA, staff are HIPAA-trained, access to your practice-management system is role-limited with MFA, and the accounting file carries batch totals and claim numbers rather than patient names.

### PPO and payer contracts

Each PPO agreement sets the fee schedule, what can be billed to the patient, coordination-of-benefits rules and how overpayments are returned. We record adjustments according to the contract and keep the fee schedules current so underpayments can be identified and refunds are handled the way the contract requires.

### Patient credits and unclaimed property

Prepaid treatment that is not completed and insurance payments that arrive after the patient paid create credit balances. We age them monthly and prepare refunds for your approval, because unrefunded credits may become reportable unclaimed property under state law after a dormancy period.

### Card data and patient financing

Our agents never take or store card numbers; patients pay through your terminal, portal or financing partner. Financing payouts from CareCredit, Sunbit or similar programs are reconciled net of the merchant discount, and promotional-plan terms are recorded so the cost of financing is visible.

## Frequently asked questions

### Why tie the day sheet to the bank instead of just using bank feeds?

Because the bank shows net deposits that combine several days and subtract fees, while the day sheet shows gross collections by patient and provider. Using bank feeds alone understates collections, hides fees, and makes the collection ratio meaningless. Tying the two identifies posting errors, missing deposits and fee changes while they are still easy to fix.

### How should lab fees be recorded?

As cost of dentistry, not as general supplies, and matched to the month the case was seated wherever possible. Lab bills usually arrive after the work is delivered, so we accrue known cases at month-end and reverse when the invoice posts. Tracking lab cost as a percent of collections by month shows whether case mix or lab pricing is moving.

### What do you need from the practice each month?

Report access in the practice-management system, accountant access to QuickBooks Online or Xero, read-only bank and card feeds, the payroll register, financing partner statements and a shared inbox for lab and supply bills. We send a short weekly list of questions, such as an unmatched deposit or a missing lab invoice, so the close is not delayed.
