# Invoicing & billing for behavioral health practices

Invoicing for behavioral health practices means clean claims by CPT code and modifier, client statements for the balance after the ERA, and self-pay invoices that match the good faith estimate on file. Our HIPAA-trained billing agents submit claims from TherapyNotes, SimplePractice or Valant through your clearinghouse within two business days of the session, with the telehealth place of service and modifier each payer requires, and correct rejections the same day.

## How it runs for behavioral health practices

Client statements go out on a fixed cycle once the remittance has set the client portion, with a portal link. Superbills are generated for out-of-network clients, and every batch is posted to the ledger when issued.

## What are outsourced invoicing services?

Outsourced invoicing services mean a remote billing team prepares, checks and sends your customer invoices instead of your office staff doing it between other tasks. The team works inside your accounting or billing software, follows your rate cards and contract terms, and issues credit notes and corrections. You keep control of pricing, approvals and the customer relationship.

## What we handle for behavioral health practices

- Submit claims within two business days with correct CPT codes, units and telehealth modifiers
- Track clearinghouse acknowledgments and fix rejections for credentialing, place of service or COB the same day
- Issue client statements on a fixed cycle after the ERA sets the client portion
- Generate superbills for out-of-network clients and invoices for EAP and contract sessions
- Post every claim batch, statement run and self-pay invoice to the ledger when issued

## The KPI that matters here

Claims submitted within two business days of the session with a first-pass acceptance rate the practice can see weekly.

## Behavioral health compliance notes

### HIPAA

Session notes, claims, ERAs and client ledgers are protected health information. We sign a BAA, staff are HIPAA-trained, access to the practice-management system is role-limited with MFA, and the accounting file receives batch totals and claim numbers rather than client names or diagnoses.

### 42 CFR Part 2

Records from a federally assisted substance-use disorder program carry stricter confidentiality rules than HIPAA alone, including specific consent before disclosure. For programs covered by Part 2, billing staff work only inside your system, no Part 2 record is exported to the ledger or to email, and any request for records is routed to your privacy officer.

### Payer contracts and credentialing

Each payer contract sets allowed amounts by CPT code, timely-filing windows, telehealth rules and how recoupments are handled. We post adjustments by contract, log clinician credentialing effective dates so held sessions are billed once approved, and reconcile recoupments against the sessions they reverse rather than netting them silently.

### Self-pay estimates and card on file

Self-pay and uninsured clients are entitled to a good faith estimate under the No Surprises Act, and card-on-file charges for copays and no-show fees require the client's written consent. We record estimates and consents with the client's financial arrangement, and our agents never take or store card numbers; charges run through your own processor.

## Frequently asked questions

### Why do behavioral health claims get rejected so often?

Common causes are a telehealth session sent without the place of service or modifier the payer requires, units that do not match the CPT code's time range, a clinician whose credentialing is not yet effective, and coordination-of-benefits information that is out of date. We keep a payer-by-payer table of these requirements and check each claim against it before submission.

### How do you bill EAP sessions and contract work?

Employee assistance programs typically pay a flat rate per authorized session and require an authorization number on each claim or invoice. We track authorizations and remaining sessions per client, bill within the authorization window, and invoice contract work such as school or agency sessions from the signed agreement. These receipts are coded separately so the practice can see its EAP and contract revenue apart from insurance.

### When do client statements go out?

After the payer's remittance has set the client's share, so the statement shows the real balance rather than an estimate. Statements run monthly from the practice-management system with a portal link, and balances that age are followed with a courteous reminder under your practice's name through our DunningDesk cadence. Copays and known deductible amounts are collected at the session by card on file.
