# Cash application & remittance posting for auto repair shops & dealerships

Cash application for auto repair shops & dealerships matches money that arrives in many forms to the specific repair order, claim or deal it settles: card batches covering a day of tickets, a fleet check paying twenty invoices less a disputed one, an insurer's ACH for three claims with supplements approved at different amounts, a warranty administrator's remittance paying claims at adjusted values, and a lender's funding for a deal net of fees and reserve holdbacks.

## How it runs for auto repair shops and dealerships

A LedgerBPO cash-application specialist applies each receipt daily in QuickBooks Online or QuickBooks Desktop, records short-pays and adjustments by reason, clears unapplied cash within the week and keeps each payer's balance accurate.

## What is cash application?

Cash application means matching money received from customers to the invoices it pays and recording that in the accounting system. It covers bank receipts, checks, lockbox files, card payouts and remittance advices, including partial payments, deductions and payments with no reference. Done well, the aging is accurate and no customer is chased for an invoice they already paid.

## What we handle for auto repair shops and dealerships

- Card batches applied to the day's closed repair orders by ticket
- Fleet and wholesale checks split across invoices from the remittance
- Insurance and warranty remittances applied by claim at the approved amount
- Lender fundings applied per deal with fees and reserve holdbacks posted
- Unapplied cash cleared within 5 business days

## The KPI that matters here

Unapplied cash older than 5 business days held at zero.

## Auto compliance notes

### State dealer rules and title work

Licensed dealers must remit sales tax on vehicle sales, submit title and registration applications within the state's deadline, often 30 days, and in some states charge no more than a capped documentation fee. We track sales tax, title fees and registration fees collected as liabilities per deal, reconcile them to what the DMV or tag agency was paid, and list any deal where the paperwork or the payment is late. Your compliance officer or attorney interprets the rules; we keep the schedule.

### Floor-plan financing

Floor-plan lenders charge interest daily per unit, require curtailment payments as units age and reconcile their records to the lot at audit. We post interest and curtailments per unit, reconcile the lender's statement to the ledger every month, and flag any sold unit whose payoff has not cleared inside the contract window so a sold-out-of-trust position never goes unnoticed.

### Parts inventory and core charges

Parts inventory must be counted, valued consistently and reconciled to the ledger, with obsolete stock written down under your CPA's policy. Core charges paid to suppliers are receivables until the core is returned, and supplier returns are receivables until credited. We track both by supplier so the balance sheet reflects what will actually come back.

### Cash reporting and consumer financing

Dealerships must file IRS Form 8300 for cash over $10,000 and keep records supporting each finance contract. We list every 8300-reportable transaction from the deal file for your compliance officer to file, and we reconcile finance reserves and chargebacks from lenders to the contracts they relate to. We do not file the forms or give legal advice.

## Frequently asked questions

### Why is cash application a separate job in an auto business?

Because most receipts do not match one invoice. Insurers pay claims at adjusted amounts, warranty administrators pay at approved labor times, fleets pay batches of invoices and lenders fund deals net of fees. If receipts are applied loosely, the aging shows paid work as open and real balances as paid. Daily, exact application keeps follow-up aimed at the right money.

### How do you apply a warranty remittance that pays less than the claim?

The remittance is applied to the claim at the amount paid, and the difference is recorded as a warranty adjustment with the administrator's reason code. Adjustments that can be appealed are listed for the service manager while the window is open; those that cannot are written down with your approval. Trends by reason are reported monthly.

### What happens to lender fees and reserve holdbacks on a funded deal?

The funding is applied to the contract in transit for that deal, with lender acquisition fees posted as a cost of the deal and any reserve holdback recorded as a receivable from the lender until released. Finance reserve income is posted at the amount actually funded. The bank reconciliation service for auto repair shops & dealerships then confirms the deposit.
