# What is w-2?

Glossary

Form W-2 is the annual wage and tax statement a US employer issues to each employee, reporting total wages paid and taxes withheld during the year, filed with the Social Security Administration and delivered to the employee by January 31 each year.

## How w-2 works

Throughout the year, payroll runs accumulate gross wages, federal and state tax withholding, Social Security, Medicare and any pre-tax deductions for each individual employee. These running totals form the basis of the W-2, so accuracy depends on payroll being processed correctly and consistently every single pay period, not corrected only at year end once small errors have already compounded across many pay runs and become harder to trace back.

After the final pay run of the year, the employer reconciles payroll totals against the general ledger, generates a W-2 for each employee individually and files copies with the Social Security Administration. Employees use their W-2 to file their own personal income tax return, so errors or late delivery create real problems for staff, not just an administrative headache for the business trying to close out the year cleanly.

## Example

A retail business with twelve employees runs biweekly payroll all year through its payroll software without interruption. In January, it reconciles total wages and withholding for each employee against the general ledger, then generates twelve separate W-2 forms. One employee's W-2 shows $42,300 in box 1 wages and $5,600 in federal income tax withheld, matching the totals from her final pay stub of the year exactly, with no adjustments needed at all.

## W-2 in QuickBooks Online vs Xero

QuickBooks Online Payroll generates and e-files W-2 forms automatically for subscribers once year-end payroll is finalized, pulling figures directly from the year's completed pay runs. Xero does not run US payroll natively, so businesses on Xero typically connect a payroll provider such as Gusto or ADP, which calculates, prepares and files the W-2s on the employer's behalf each year.

## Common mistakes

- Small payroll errors are left uncorrected during the year, assuming they will be fixed at year end, but they compound across many pay periods first.
- Employee personal details, like a legal name change or updated address, are not updated in payroll before W-2s are generated, causing rejected or delayed filings.
- Payroll totals are not reconciled against the general ledger before W-2s are issued, so the forms and the books show different numbers for the same year.

## Why it matters

The W-2 is what an employee relies on to file their own personal tax return, so errors or late delivery cause real problems for staff, not just the business. For an employer, inaccurate W-2s can trigger penalties and repeated corrections with the Social Security Administration. Reconciling payroll every period, rather than only at year end, keeps W-2 preparation accurate and keeps employees able to file on time.
