# What is unapplied payment?

An unapplied payment is a customer payment that has been received and recorded in the accounting system but has not yet been matched to a specific invoice, leaving the customer's account showing a credit with no offsetting charge.

## How unapplied payment works

Unapplied payments happen when a customer pays without referencing an invoice number, overpays or underpays an invoice, or pays for several invoices in one transaction that has not yet been split out. Until the payment is applied, accounts receivable aging reports can look misleading, showing an open invoice that the customer has actually already paid, which can trigger an unnecessary collections call.

Clearing unapplied payments is a routine part of cash application, usually done by matching the payment amount to the customer's open invoices or contacting the customer to ask which invoice the payment covers. A high volume of unapplied payments usually points to unclear remittance information or invoices that do not travel with a reference number the customer can quote back, which is worth fixing at the source.

## Example

A customer sends a $3,000 payment with no invoice number attached, and the bookkeeper posts it as an unapplied payment. Checking the customer's open invoices shows two outstanding balances of $1,750 and $1,250. After confirming with the customer, the bookkeeper applies $1,750 to the older invoice and $1,250 to the newer one, clearing the unapplied balance to zero.

## Unapplied payment in QuickBooks Online vs Xero

QuickBooks Online shows unapplied payments as a credit on the customer's profile until manually applied to an invoice through the receive-payment screen. Xero flags unreconciled customer credits in its accounts receivable reports the same way, and both tools let a bookkeeper apply a single payment across multiple invoices at once.

## Common mistakes

- Letting unapplied payments sit unmatched for weeks, which makes the accounts receivable aging report show invoices as overdue that the customer has actually already paid.
- Sending a collections reminder or follow-up call to a customer whose payment is simply sitting unapplied, which damages the relationship over a problem that exists only in the books.
- Guessing which invoice an unclear payment covers instead of confirming with the customer, which can misapply cash to the wrong invoice and leave the real one still showing as unpaid.

## Why it matters

Unapplied payments distort accounts receivable aging, which is the report an owner, lender or collections team relies on to know who actually owes money. A business with a high volume of unapplied cash risks chasing customers who already paid, damaging relationships and wasting staff time. Clearing unapplied payments promptly keeps the receivable balance trustworthy and collections efforts focused on customers who genuinely owe.
