# What is suspense account?

A suspense account is a temporary general ledger account used to record a transaction whose correct classification is not yet known, so a bank deposit or payment can be posted right away while the bookkeeper investigates where it actually belongs.

## How suspense account works

A suspense account is used when a bookkeeper needs to record something immediately, often because a bank deposit hit the account and needs to be reflected, but does not yet have enough information to know the right final account, such as an unidentified customer payment or an ambiguous vendor charge that needs more research.

Good practice is to investigate and clear every suspense account entry before the books close for the period, moving each item to its correct account once it is identified. A suspense account with a growing, aging balance is a red flag during a review, since it usually means unresolved questions are piling up instead of being answered, which can hide errors elsewhere in the books.

## Example

A $2,200 deposit arrives with no remittance advice identifying the customer. The bookkeeper posts it to a suspense account so the bank reconciliation still balances, then checks with the bank and reviews open invoices. Two days later, the payment is identified as coming from a specific customer, and the bookkeeper reclasses the $2,200 from suspense into that customer's accounts receivable.

## Suspense account in QuickBooks Online vs Xero

QuickBooks Online and Xero both support a suspense account as a standard other current asset or liability account in the chart of accounts. Neither software flags aging suspense balances automatically, so reviewing and clearing them is a manual step in the month-end close checklist.

## Common mistakes

- Closing the books for the period while a suspense account still carries a balance, which lets an unresolved question quietly become part of the official financial statements.
- Using a suspense account as a permanent catch-all for anything confusing instead of researching and reclassing each item promptly, which lets the balance grow instead of shrink.
- Not documenting why each item was posted to suspense, which makes it hard for anyone else to pick up the research if the original bookkeeper is unavailable.

## Why it matters

A suspense account is meant to be temporary, and a growing balance is one of the clearest signs to a lender, investor or accountant that something in the books has not been resolved. For a small business owner, an unreviewed suspense balance can hide a misapplied payment or an error large enough to change reported profit. Clearing it every cycle keeps the financial statements a true picture, not a placeholder.
