# What is remittance advice?

Remittance advice is a document a customer sends along with a payment that lists which invoices the payment covers. It helps the business apply the payment to the correct invoice or invoices accurately.

## How remittance advice works

Remittance advice can arrive as a printed slip attached to a check, an email, or a data file from a payment portal. It typically lists the invoice numbers, amounts, and any discounts or deductions taken, which is the information needed to apply the payment correctly without guessing. Some payment portals generate remittance advice automatically as a data file, which removes the guesswork entirely if it is used consistently.

When remittance advice is missing or unclear, a payment can end up sitting as unapplied cash until someone contacts the customer to confirm what it covers, which slows down cash application and can make accounts receivable look inaccurate in the meantime. Clear remittance advice is one of the biggest factors in fast, accurate cash application. Encouraging customers to always include remittance details, even a simple note with the invoice number, meaningfully speeds up the entire cash application process.

## Example

A customer pays $3,400 and includes remittance advice showing $2,000 for invoice 1042 and $1,400 for invoice 1055, with no deductions noted. The accountant applies the payment exactly as instructed, closing invoice 1042 in full and invoice 1055 in full, with no time spent guessing which invoices the payment was meant to cover.

## Remittance advice in QuickBooks Online vs Xero

QuickBooks Online lets you attach a copy of the remittance advice to a Receive payment transaction for future reference. Xero allows the same through file attachments on the matched bank transaction during Reconcile. Neither tool reads remittance data automatically, so the details still need to be entered by hand. A consistent naming convention for invoice numbers also makes it easier to match remittance details quickly and correctly.

## Common mistakes

- Businesses post a payment as a lump sum without recording which invoices it covers, forcing someone to reconstruct the breakdown later when a customer disputes a balance.
- Accountants apply a payment to the wrong invoice when remittance details are missing, because the amount happens to match a different open balance closely.
- Email remittance advice gets filed away unread instead of attached to the payment record, so the backup needed to resolve a later dispute is never found.

## Why it matters

Remittance advice is what turns a payment into an applied invoice instead of a mystery deposit sitting on the books. Without it, accounts receivable balances look wrong, customers get chased for invoices they already paid, and cash flow reporting becomes unreliable.
