# What is kpi?

A KPI (key performance indicator) is a measurable figure, such as days sales outstanding or gross margin, that a business tracks regularly to gauge financial or operational performance against a target or against a prior period.

## How kpi works

Useful KPIs are specific, measured consistently period after period, and tied to something the business can actually act on, rather than a long list of numbers nobody ever reviews. Financial KPIs commonly include gross margin, days sales outstanding, cash runway and budget variance, chosen based on what genuinely drives that particular business forward.

A KPI only helps if it is tracked on a regular cadence and compared to a target or a trend, not looked at once and then forgotten about. Presenting a small set of KPIs on a simple dashboard, updated monthly, makes it easier for an owner to spot a problem early rather than after it already shows up in profit.

## Example

A services firm tracks four KPIs monthly: gross margin, days sales outstanding, cash runway and revenue per employee. This month, days sales outstanding rose from 38 to 52 days, a fourteen day flag that pushes the owner to review the accounts receivable ageing report and follow up personally on two overdue client invoices before the trend has a chance to continue further.

## KPI in QuickBooks Online vs Xero

QuickBooks Online Advanced includes a Business Performance Dashboard that tracks selected KPIs against prior periods automatically. Xero's Analytics and Business Snapshot features surface key financial metrics such as cash position, profitability and working capital in one consolidated view.

## Common mistakes

- Too many KPIs are tracked at once, so nothing actually gets reviewed regularly and the dashboard becomes noise nobody checks anymore.
- A KPI is tracked without ever setting a target or comparison point, so a number moves up or down with no sense of whether that is good or bad.
- KPIs are chosen because they are easy to measure, not because they actually reflect what drives performance for that specific business.

## Why it matters

KPIs translate a pile of transactions into a small set of numbers an owner can actually act on, like days sales outstanding or gross margin. Tracking the wrong KPIs, or too many of them, buries the signal that actually matters in noise nobody reviews. For owners and finance managers, a focused KPI dashboard updated every period catches problems, like slowing collections or shrinking margin, early enough to respond before they show up in profit.
