# What is double-entry bookkeeping?

Double-entry bookkeeping is the accounting method in which every transaction is recorded in at least two accounts, a debit and a matching credit, so total debits always equal total credits and the books stay in balance at all times.

## How double-entry bookkeeping works

Every transaction affects at least two accounts: paying a bill reduces cash and reduces the liability owed to the vendor, while making a sale increases revenue and increases either cash or accounts receivable at the same time. This two-sided recording is what lets the balance sheet always balance, since assets, liabilities and equity move together rather than shifting independently of each other.

Because every entry has a matching offset somewhere else in the books, double-entry bookkeeping makes errors considerably easier to catch, if debits do not equal credits somewhere, something was recorded incorrectly. Nearly all accounting software builds transactions this way automatically behind the scenes, even when a user only sees a single field like 'deposit' or 'expense' on screen.

## Example

A business pays $500 cash for office supplies. Under double-entry bookkeeping, this single transaction is recorded as a $500 debit to the supplies expense account and a matching $500 credit to the cash account. Total debits ($500) equal total credits ($500), and the cash account balance decreases by exactly the amount the expense account increases, keeping everything in balance.

## Double-entry Bookkeeping in QuickBooks Online vs Xero

Not software-specific. Both QuickBooks Online and Xero are built on double-entry accounting under the hood, automatically posting the matching debit and credit for every transaction even when the user only enters one side, like recording a simple expense.

## Common mistakes

- A transaction is entered with a debit but no matching credit, or the reverse, throwing the books out of balance until the missing side is found.
- Someone assumes a single-entry spreadsheet is equivalent to proper bookkeeping, missing the built-in check that catches errors automatically in a true double-entry system.
- A correcting entry is posted to fix one account without adjusting its matching pair, creating a new imbalance while trying to resolve the original one.

## Why it matters

Double-entry bookkeeping is the structural check that keeps a business's books internally consistent, since every transaction must balance against itself before it can be trusted at all. For owners and finance managers, this built-in check is what catches data entry errors early, before they reach financial statements shared with a lender or used for tax filing. Businesses relying on single-entry records lose this safeguard and risk errors going unnoticed for much longer.
