# What is controller?

A controller is the senior accounting professional responsible for a company's day-to-day accounting operations, including the month-end close, internal controls, and the accuracy of financial statements, typically reporting to a CFO or business owner.

## How controller works

A controller oversees the bookkeeping and accounts payable and receivable functions, sets the chart of accounts and close calendar, and signs off on financial statements before they go to ownership, lenders, or a board. The role sits between hands-on bookkeeping and strategic finance, focused on getting the numbers right and the process repeatable month after month.

In smaller businesses, a controller may also review budgets, manage cash flow, and act as the main point of contact for the company's CPA at tax time. Many growing businesses use a fractional or outsourced controller instead of a full-time hire, bringing in that oversight only for the hours or scope actually needed, which keeps the cost proportional to the business's size.

## Example

A $6 million construction company brings in a fractional controller for 15 hours a month. The controller reviews the bookkeeper's work, tightens the month-end close from three weeks to eight business days, and builds a job-costing report that shows which projects are actually profitable, work the in-house bookkeeper did not have the training or time to produce.

## Controller in QuickBooks Online vs Xero

A controller typically works across the full stack the business already uses, reviewing entries and reports inside QuickBooks Online or Xero rather than a separate system. Many also use a practice-management or workflow tool such as Karbon to track close tasks and sign-offs across the team.

## Common mistakes

- Hiring a bookkeeper and expecting controller-level oversight from them, which leaves nobody actually reviewing the close, setting internal controls, or catching errors before financial statements go out.
- Waiting until a lender or investor asks for reviewed financials to bring in a controller, which forces a rushed cleanup instead of an ongoing process built around clean monthly reporting.
- Assuming a full-time controller salary is the only option, which can push a growing business to delay oversight rather than bring it in at a scope it can afford.

## Why it matters

A controller is the person who stands behind the accuracy of the numbers a lender, investor or owner relies on to make decisions, not just the person entering transactions. Without that layer of review, errors and inconsistent processes can go unnoticed until they show up in a tax filing or loan application. Bringing in controller-level oversight, even part-time, gives a growing business the internal controls larger companies take for granted.
