# What is chart of accounts mapping?

Chart of accounts mapping is matching each account in one accounting system to the corresponding account in another, typically during a software migration, acquisition or when consolidating multiple entities into one set of financial statements. It keeps historical data comparable after the change.

## How chart of accounts mapping works

Mapping starts with exporting both charts of accounts and pairing each account by function rather than by name alone, since two systems rarely use identical labels for the same thing. Accounts with no clear match are flagged for a decision: create a new account, merge it into an existing one, or mark it inactive.

Once the mapping is approved, historical transactions or opening balances are imported against the new account structure, and a trial balance comparison confirms nothing was lost or duplicated in the move. Getting this step wrong is a common cause of a messy first month-end close after switching accounting software. Businesses consolidating multiple entities into one set of financial statements go through the same mapping exercise for each entity, aligning account names and numbering so results can be combined without manual reclassification every reporting period.

## Example

A company migrating from QuickBooks Desktop to QuickBooks Online has an account called Office Supplies - Misc with no direct match in the new simplified chart. The bookkeeper maps it to Office Expenses, reviews the prior year's transactions in that account, and confirms the $4,200 balance carries over correctly to the new account before closing out the old file. The mapping document created during the migration is kept on file, so if a question comes up about how an old account was treated a year later, the answer is documented rather than reconstructed from memory.

## Chart of accounts mapping in QuickBooks Online vs Xero

QuickBooks Online's migration tool can import a chart of accounts and transaction history from QuickBooks Desktop with a built-in mapping step during setup. Xero has no automated migration tool for most source systems, so mapping and import are typically done manually or with a third-party conversion service before opening balances are entered.
