# What is bpo?

Glossary

BPO, or business process outsourcing, is the practice of contracting a specific business function, such as bookkeeping, payroll, invoicing or customer billing, to an outside provider that specializes in that function, instead of performing it entirely with in-house staff.

## How bpo works

BPO providers range from large multinational firms handling thousands of seats to small, specialized teams focused on a single function such as accounting or billing. The model typically involves a dedicated team or individual assigned to a client, working inside the client's own systems or the provider's platform, depending on the arrangement and the function being outsourced.

Businesses turn to BPO to access skilled staff at a lower fully loaded cost than local hiring, to add capacity during growth without a long hiring cycle, or to get coverage across time zones. Accounting and billing BPO specifically covers bookkeeping, accounts receivable and payable, reconciliation, and billing-call support that would otherwise require several in-house hires to staff separately.

## Example

A US-based home care agency outsources its billing and bookkeeping to a BPO provider rather than hiring an in-house billing coordinator and bookkeeper. The provider assigns a dedicated accountant who works inside the agency's own QuickBooks Online file and billing software, handling invoicing, reconciliation and insurance follow-up calls at a lower combined cost than two full-time local hires.

## BPO in QuickBooks Online vs Xero

Accounting and billing BPO work is typically done inside the client's own software, such as QuickBooks Online, Xero or a practice-management system, rather than a proprietary tool the client has to adopt. This avoids the data migration and lock-in that a fully separate platform would require.

## Common mistakes

- Choosing a BPO provider mainly on price without checking whether staff work inside the client's own software, which can lead to a costly, disruptive migration to a proprietary platform later.
- Outsourcing a function without defining who reviews the work, which removes the internal-control layer a business would normally have with in-house staff reporting up to an owner or manager.
- Assuming BPO means losing visibility into day-to-day operations, which is usually a sign the engagement was set up without regular reporting or a named point of contact.

## Why it matters

BPO gives a small business or accounting firm access to skilled staff and coverage it could not efficiently build in-house, which matters directly to cash flow when a full-time local hire is not yet justified by volume. The right BPO arrangement adds capacity for bookkeeping, billing or reconciliation without a long hiring cycle, letting an owner focus on running the business instead of managing an internal back office.
