A bookkeeper is the professional responsible for recording a business's day-to-day financial transactions, including sales, expenses, bank activity and payroll entries, so the general ledger stays accurate and current for reporting and tax purposes.

## How bookkeeper works

A bookkeeper handles the routine, recurring work of accounting: entering invoices and bills, categorizing bank and credit card transactions, reconciling accounts, and keeping the chart of accounts organized. This is distinct from a CPA, who focuses on tax preparation and assurance, and a controller, who oversees process and reviews the bookkeeper's output before it reaches ownership or a lender.

Bookkeepers typically work inside software such as QuickBooks Online or Xero, and the quality of their categorization directly determines whether financial reports and tax filings are accurate. A business without a consistent bookkeeper often ends up with months of uncategorized transactions that have to be cleaned up in a rushed catch-up project before tax season, usually at a higher cost than staying current.

## Example

A dedicated bookkeeper spends two hours a week for a landscaping company categorizing 40 to 60 bank transactions, reconciling the checking account, and entering vendor bills. By keeping the work current instead of batching it quarterly, the owner sees an accurate profit and loss statement each month rather than discovering a large miscategorization at tax time.

## Bookkeeper in QuickBooks Online vs Xero

Bookkeepers work directly inside the client's own software, most commonly QuickBooks Online, Xero or Zoho Books, rather than a separate proprietary tool. Consistency across bank rules, the chart of accounts and monthly reconciliation is what keeps the books usable for tax preparation, lending, or management reporting.

## Common mistakes

- Going months without any bookkeeper touching the books, which forces a rushed, more expensive catch-up project right before a tax deadline or loan application.
- Letting bank and credit card transactions sit uncategorized for weeks, which makes any profit and loss statement pulled in between an unreliable guess rather than an accurate report.
- Assuming a bookkeeper can also prepare and sign tax returns or give tax advice, which is outside the scope of the role and belongs with a CPA or enrolled agent.

## Why it matters

A bookkeeper is the person keeping the day-to-day financial picture accurate, and without that consistency an owner cannot trust the profit and loss statement they are using to price jobs, plan payroll or apply for a loan. Falling behind on bookkeeping also means tax season becomes a costly cleanup project instead of a routine filing. Staying current protects cash decisions made all year, not just the year-end numbers.
